Bookkeeper & Firm Operations Coordinator Foster & Schmalkuche, P.C., Gardiner NY Looking for More Than Just a Bookkeeping Role? We're looking for a highly organized, tech-savvy professional who enjoys being at the center of a successful firm's operations. You'll play a key role in managing the financial heartbeat of our CPA firm while helping create an exceptional experience for both clients and team members. If you love keeping things organized, solving problems before they become problems, and take pride in making an office run seamlessly, we'd love to meet you. What You'll Own Firm Finance & Billing
- Manage the firm's client billing process from start to finish
- Prepare invoices and ensure timely and accurate billing
- Monitor accounts receivable and follow up on outstanding balances
- Process accounts payable and vendor payments
- Maintain accurate financial records and supporting documentation
- Help identify opportunities to improve efficiency and cash flow processes Operations & Office Administration
- Serve as a primary administrative support resource for partners and staff
- Manage incoming communications, mail, and client correspondence
- Coordinate scheduling, meetings, and office logistics
- Maintain electronic and physical client records
- Manage office supplies, vendors, and service providers
- Support client onboarding and engagement processes
- Assist with workflow coordination and special projects

- 3+ years of bookkeeping, accounting support, or office management experience
- Experience with accounts payable, billing, and reconciliations
- QuickBooks proficiency strongly preferred
- Strong Microsoft Office skills, particularly Excel
- Experience in a CPA, accounting, legal, financial services, or professional services firm is a plus
