We are a 3PL provider of assembly and contract packaging services and the associated warehousing, distribution, procurement, and transportation services. Summary The Operations Coordinator supports daily operations across assembly, packaging, and warehouse functions to ensure accurate, efficient, and timely execution of customer requirements. This role assists with coordinating production schedules, inventory movements, shipping activities, documentation, and communication between departments to support operational efficiency and customer satisfaction. The Operations Coordinator helps maintain quality, safety, and productivity standards while supporting continuous improvement initiatives and ensuring smooth day-to-day workflow execution. Responsibilities Coordinate daily assembly and contract packaging activities to ensure customer specifications and production schedules are met. Assist with planning labor, materials, and workflow to support operational efficiency and on-time delivery. Support warehouse operations including receiving, inventory transactions, order fulfillment, and shipping coordination. Verify product labeling, packaging accuracy, and shipment documentation. Monitor inventory levels and communicate shortages, discrepancies, or material needs to leadership. Serve as a communication liaison between warehouse teams, production staff, customer service, and management. Track and maintain operational documentation, reports, and production records. Assist with scheduling inbound and outbound shipments to ensure timely delivery. Support quality checks and report operational issues to management for resolution. Assist with customer audits, site visits, and operational reporting requests. Track operational KPIs related to productivity, accuracy, and throughput. Support process improvement initiatives to improve workflow efficiency. Ensure compliance with company safety policies, housekeeping standards, and GMP requirements. Assist with training new employees on operational processes and procedures as needed. Assist in other duties as assigned. Education and Requirements 1-3 years of experience in warehouse, logistics, packaging, manufacturing, or supply chain operations preferred. Previous experience in a coordinator, administrative, warehouse support, or logistics role preferred. Experience in 3PL, distribution, or contract packaging environments preferred. Basic understanding of warehouse operations, inventory management, and production workflows. Experience with warehouse management systems (WMS), ERP systems, or shipping systems preferred. Strong organizational and time management skills. Strong communication and problem-solving abilities. Ability to manage multiple priorities in a fast-paced environment. Strong attention to detail and accuracy. Proficiency in Microsoft Excel, Word, and email communication tools. Commitment to safety, quality, and customer service. Position Summary The Operations Coordinator - Freight Forwarding is responsible for supporting the day-to-day coordination and execution of international freight forwarding activities, ensuring shipments are handled efficiently, accurately, and in accordance with customer requirements and applicable regulations. This position serves as a key point of coordination among customers, carriers, agents, vendors, customs brokers, and internal teams to facilitate the timely movement of freight. The Operations Coordinator manages shipment activity from booking through final delivery, maintains accurate documentation and system records, proactively monitors shipment status, and communicates updates and exceptions to appropriate stakeholders. The ideal candidate is highly organized, detail-oriented, customer-focused, and comfortable working in a fast-paced logistics environment with competing priorities. Essential Duties and Responsibilities Coordinate international air and ocean import and/or export shipments from booking through final delivery. Process shipment bookings and communicate with airlines, steamship lines, trucking providers, overseas agents, customs brokers, warehouses, and other service partners. Prepare, review, and maintain accurate shipping documentation, including bills of lading, air waybills, commercial invoices, packing lists, arrival notices, delivery orders, and other required documents. Monitor shipments throughout the transportation lifecycle and proactively communicate status updates, delays, exceptions, and changes to customers and internal stakeholders. Ensure shipment information, milestones, documentation, and costs are accurately and timely entered into the company's transportation and freight forwarding systems. Coordinate pickup and delivery arrangements with customers, carriers, warehouses, and drayage providers. Work closely with customs brokers and customers to facilitate customs clearance and resolve documentation or shipment-related issues. Verify shipment documentation for completeness and accuracy and identify discrepancies prior to cargo movement whenever possible. Track vessel and flight schedules, estimated departure and arrival dates, cargo availability, and final delivery status. Obtain and evaluate carrier and vendor rates as needed to support shipment execution and customer requirements. Assist with the preparation of customer quotes and ensure applicable rates and charges are properly documented. Review vendor invoices and shipment costs for accuracy and support timely billing of completed shipments. Identify potential accessorial charges, including demurrage, detention, storage, and other transportation-related fees, and take proactive steps to minimize avoidable costs. Respond promptly and professionally to customer inquiries and provide a high level of service throughout the shipment process. Troubleshoot operational issues and coordinate appropriate solutions with customers, carriers, agents, vendors, and internal departments. Maintain organized and complete shipment files in accordance with company procedures and record-retention requirements. Ensure operational activities are performed in accordance with company policies, customer requirements, and applicable transportation and trade regulations. Develop and maintain effective working relationships with customers, carriers, vendors, agents, and internal business partners. Support departmental reporting, shipment audits, performance metrics, and continuous improvement initiatives. Escalate significant service failures, compliance concerns, customer issues, or operational risks to management as appropriate. Perform other duties and special projects as assigned. Qualifications Education and Experience High school diploma or equivalent required; associate's or bachelor's degree in Logistics, Supply Chain Management, International Business, Transportation, or a related field preferred. 2+ years of experience in freight forwarding, international transportation, logistics, or a related operations environment preferred. Experience coordinating air and/or ocean import and export shipments strongly preferred. Knowledge of freight forwarding documentation, terminology, and shipment processes preferred. Familiarity with customs clearance processes and international shipping requirements is a plus. Knowledge, Skills and Abilities Strong organizational skills with the ability to manage multiple shipments, deadlines, and priorities simultaneously. Excellent attention to detail and commitment to maintaining accurate documentation and system records. Strong written and verbal communication skills. Demonstrated customer-service orientation and ability to communicate professionally with customers and external business partners. Ability to identify operational issues, evaluate available options, and coordinate timely solutions. Ability to work effectively in a fast-paced, deadline-driven environment. Strong follow-up skills and ability to proactively monitor shipments through completion. Ability to work independently while collaborating effectively with operations, sales, finance, compliance, and other internal teams. Working knowledge of Microsoft Office applications, including Outlook, Excel, and Word. Experience with freight forwarding, transportation management, or logistics operating systems preferred. Understanding of Incoterms, international transportation terminology, and basic import/export requirements preferred.
