Position Overview:
The Client Operations Coordinator owns the customer experience from first contact through final delivery while ensuring smooth, efficient production. This role serves as the central hub between customers, suppliers, design, and production—balancing relationship management with hands-on operational execution. We are a growing custom embroidery and screen-printing company looking for a motivated, reliable entry-level Operations & Client Coordinator who wants to learn how a business runs and grow into a leadership role over time. This role is ideal for a recent college graduate who is organized, coachable, and interested in operations, customer experience, and management. No prior embroidery or screen-printing experience is required — training is provided. This position has a defined growth path to Operations Manager and eventually General Manager for the right candidate. Key Responsibilities Client & Account Ownership Serve as the primary point of contact for customers from onboarding to order completion Lead client onboarding, including setup, education, and expectation setting Manage walk-in, phone call, and email for new orders and pickups Resolve customer issues quickly and professionally to maintain high satisfaction and retention Act as a customer advocate internally, ensuring needs are clearly communicated Operations & Production Coordination Receive inbound goods, verify accuracy, and stage items for production Coordinate with design resources to ensure artwork is production-ready and optimized Document all job details, timelines, and statuses accurately in the ERP system Coordinate shipping, pickups, and order completion notifications Run embroidery and heat press machines as needed to support production flow Supplier & Vendor Management Maintain relationships with suppliers and vendors for garments, materials, and equipment Communicate inventory needs and production constraints proactively Collaboration & Continuous Improvement Work closely with graphic, production, and marketing teams to support client needs Create or support educational materials to help customers understand products and processes Stay informed on embroidery and screen-printing trends, materials, and techniques Become proficient across all department functions to provide coverage and support Perform other duties as required to meet business demands Other duties as assigned or dictated by the needs of the business. Ideal Candidate Profile Experience in embroidery, screen printing, or custom manufacturing preferred Strong customer communication and problem-solving skills Comfortable working both in the office and on the production floor Highly organized, detail-oriented, and process-driven ERP or job-tracking system experience (Printavo, Shopworks, etc. preferred) Willing to be hands-on and adaptable in a growing business Other Skills and Abilities To perform the job successfully, the successful individual will demonstrate - Ability to manage and prioritize work in order to meet tight deadlines. Highly organized and detail oriented. Able to effectively establish and assess quality standards. Understanding of process management. Effective communication and interpersonal skills. Required Qualifications:
High school diploma or equivalent. Excellent communication skills, both verbal and written. Excellent organizational and leadership skills. Ability to work under pressure and manage multiple projects simultaneously. Strong problem-solving skills and attention to detail.

The team member must be able to regularly spend 8 hours actively moving on their feet Preferred Qualifications Bachelor's degree in business, operations, marketing, supply chain, or related field preferred (not required) 3-5 years of experience in a Customer Success role, preferably in the embroidery or screen printing industry. Strong communication and organizational skills Willingness to learn in a hands-on production environment Reliable, detail-oriented, and accountable Comfortable standing, moving, and assisting on the production floor Strong technical knowledge of embroidery machines and software. Proficient in Microsoft Office and/or Google Workspace, especially Excel/Sheets Experience with ERP software such as Printavo Experience with design software (e.g., Adobe Illustrator, CorelDRAW).
