As an established distributor for leading manufacturers, we're building something new from the ground up — and we're looking for the right person to help us do it properly from day one. The Role We're seeking an organized, proactive Operations Administrator to support our Founder in keeping parts ordering, logistics, and customer service running smoothly as we scale. This is a hands-on role at the center of the business — you'll be the voice customers hear on the phone and the person making sure orders move from inquiry to delivery without a hitch. This is initially a part-time position (3 days/week, one of which is in our Bridgeport office, with flexible hours and hybrid working available). As the business grows, so will the hours — and the opportunities. Key Responsibilities Manage day-to-day equipment ordering and coordinate logistics with suppliers and manufacturers Serve as a primary point of contact for customer inquiries via phone and email, with a professional, friendly manner Track orders end-to-end, proactively communicating status and resolving issues before they become problems Maintain accurate records in Excel and QuickBooks (order tracking, inventory, supplier data, basic bookkeeping), with an eye toward transitioning to a full CRM as the business scales Support the Founder with general administrative tasks: scheduling, correspondence, document preparation, and ad hoc projects Liaise with equipment manufacturers and distributors to ensure smooth communication and timely fulfillment Help identify and implement process improvements as order volume grows Represent AES at occasional industry events and customer visits
What We're Looking For:
Experience 3-5 years in a customer service, administration, or operations support role Experience handling phone-based customer interactions professionally and confidently Background in logistics, order processing, or supply coordination is a plus Automotive, motorsport, or workshop equipment industry experience is a bonus — not a requirement Skills & Competencies Strong administrative and organizational skills, with excellent attention to detail Confident, warm, and professional phone manner Proficiency in Microsoft Office, particularly Excel (formulas, tracking sheets, basic reporting) Working knowledge of QuickBooks (invoicing, expense tracking, basic reconciliation) is a key requirement Comfortable working with or learning CRM/order management systems Clear written and verbal communication skills A genuine "can-do" attitude — comfortable wearing multiple hats in a small, growing business Ability to work independently and use good judgment, while knowing when to flag issues Strong customer service orientation — patient, responsive, and solutions-focused Comfortable with ambiguity and the pace of a startup environment Basic understanding of, or willingness to learn, automotive parts and equipment terminology Personal Attributes Reliable, punctual, and trustworthy — this role requires autonomy Positive, energetic, and personable Naturally curious and interested in learning the business An interest in cars, motorsport, or workshop equipment is a genuine plus (car and racing enthusiasts welcome!) — but it's not a dealbreaker if you don't know a torque wrench from a socket set What We Offer Competitive part-time salary ($30-40k PA, pro-rated for hours worked) 401(k) benefits Flexible hours with hybrid working arrangements The chance to be an early, foundational hire at a growing company — with real scope to grow your hours and responsibilities as we do A fun, informal, fast-moving environment with occasional industry event attendance Direct mentorship and exposure to all sides of the business, working closely with the Founder Automotive Equipment Solutions is an equal opportunity employer.
