Position Overview Clelan and Company is seeking a highly motivated, detail-oriented, and proactive Director of Client Operations to serve as a key integrator within our growing financial advisory practice. This role is designed for an individual who thrives in a fast-paced environment, enjoys building systems and processes, and takes ownership of projects from concept through completion. The ideal candidate will act as a force multiplier for the firm's leadership—streamlining operations, enhancing the client experience, and ensuring that key initiatives move forward. This individual will work directly with the firm owner and play a central role in improving efficiency, supporting advisors, and driving strategic initiatives. Key Responsibilities Operations & Project Ownership Lead and execute internal projects (e.g., implementing account features, refining pricing models, improving workflows) Identify inefficiencies and proactively design and implement improved processes Own follow-through on firm initiatives to ensure accuracy and timely submission Evaluate and implement new tools, technologies, and systems Client Experience & Advisor Support Oversee and enhance the end-to-end client experience Assist with complex client service needs in coordination with the team Ensure consistent, proactive communication with clients where appropriate Marketing & Growth Support Create and develop new marketing initiatives Assist in delivering existing marketing content, including: Quarterly newsletters Client communication campaigns Advisor messaging and video scripting Coordinate and manage marketing calendars and deliverables Office Operations & Management Serve as the on-site point person for office operations Manage supplies, vendors, and general office needs Maintain organization and efficiency of the physical office environment Leadership Support Act as a strategic support partner to the firm owner Help prioritize initiatives and manage competing demands Take ownership of non-revenue-generating responsibilities to free up advisors' time Progressively assume decision-making responsibility as trust and experience grow What Success Looks Like (First 6-12 Months) The firm owner is significantly less involved in day-to-day operational decisions Key projects are completed on time without constant oversight Processes are documented, improved, and consistently followed Marketing initiatives are executed regularly and proactively The office runs smoothly without intervention Team members experience improved coordination and follow-through Ideal Candidate Profile We are looking for someone who is: Highly proactive and self-directed A strong critical thinker with sound judgment Process-oriented and systems-minded Detail-driven with high standards of execution Organized and accountable with strong follow-through Energetic, curious, and growth-minded A strong communicator internally and with clients Comfortable operating without step-by-step instructions Qualifications 3-7+ years of experience in operations, project management, or client service (financial services preferred) Demonstrated ability to manage projects and improve processes Strong technical skills (CRM systems, Microsoft Office, financial software a plus) Bachelor's degree preferred Compensation & Structure Base salary: $75,000-$95,000 (commensurate with experience) Performance-based bonus Hybrid work schedule potential (after onboarding and proven proficiency) Clelan and Company is committed to delivering exceptional client experience with a personal touch.
