Your New Role:
This is a unique opportunity to join a quickly developing woman-owned firm during a period of rapid growth. As Executive and Operations Administrator, you'll play a key role during a period of transition from remote work to a physical office, ensuring that all operations continue to run smoothly while supporting various departments — including leadership. While this role starts remotely, you'll switch to a hybrid role once the physical office is established. You'll be responsible for coordinating complex travel logistics, preparing materials for conferences and presentations, and serving as a trusted administrative thought partner by anticipating needs and streamlining workflows. You'll also support project setup and administration within Ajera-based systems and assist with invoicing and basic bookkeeping. Dialed-in organizational skills are crucial in this role, as you'll be assisting with vendor setup and insurance documentation, tracking contracts through established workflows, and supporting invoice processing. You'll also identify gaps and opportunities for improvement, support the development of scalable systems, and collaborate with leadership and the operations team on iterative process improvements. You'll also have some administrative tasks including attending meetings, committees, and events as needed. Success in this role requires working with technical subject matter experts and translating to other colleagues. You'll also need sound judgment when handling confidential information, confidence presenting solutions to leadership, and the ability to adapt in a flexible, fast-moving environment. This is currently a fully remote role, until the workspace in the Vancouver area is established; then you'll transition into a hybrid work schedule. We are considering candidates in the Portland metro, Clark and Washington Counties, Vancouver, and Ridgefield areas.
