JOB SUMMARY
The Operations Supervisor leads the day-to-day performance of ARO's on-site document handling and mailroom services, taking full accountability for multiple operational areas and the team that runs them. This is a hands-on leadership role for someone who shows up on time, sets the standard for reliability, and brings out the best in the people around them. Beyond running clean, accurate operations, this supervisor is the connective tissue between the ARO team and the client contacts on-site — key stakeholders in the work we deliver every day. The right person builds genuine partnership through a "you get more bees with honey" approach: leading with respect, positivity, and collaboration to make both the team and the client feel supported and successful. Key Responsibilities Own results across multiple operational areas, including document handling / imaging, mailroom, and related administrative services. Maintain accuracy, turnaround times, and service levels, ensuring daily workflows are completed on schedule and to standard. Model and enforce punctuality and dependability — for shift start, task deadlines, and service commitments. Track volumes and performance, identify bottlenecks, and drive continuous improvement in quality and efficiency. Ensure compliance with ARO and client procedures, security requirements, and confidentiality standards. Team Leadership Supervise, schedule, and develop the document handling and mailroom team, providing clear direction and day-to-day coaching. Lead in a way that makes team members feel successful and part of something bigger — recognizing good work, building confidence, and creating a positive environment. Set expectations, give constructive feedback, and support growth and cross-training across the team. Handle staffing coverage, onboarding, and performance conversations with fairness and consistency. Client & Stakeholder Collaboration Serve as a primary on-site point of contact for client stakeholders, building trust and strong working relationships. Foster collaboration between the ARO team and client contacts, aligning priorities and keeping communication open and proactive. Anticipate client needs, respond to requests promptly, and represent ARO professionally and positively at all times. Elevate the on-site experience so the client sees ARO as a dependable, easy-to-work-with partner. Qualifications & Experience Required Proven experience supervising or managing a team, ideally in operations, mailroom, document/print services, or a comparable service environment. Demonstrated ability to be accountable for multiple areas or workflows at once. Strong record of punctuality, reliability, and follow-through on tasks and deadlines. Excellent interpersonal and communication skills, with a collaborative, service-first leadership style. Comfort working directly with clients and stakeholders in a professional on-site setting. Solid organizational skills and basic proficiency with common office and tracking tools. Preferred Experience in a client-embedded or facilities/managed-services operation. Familiarity with document imaging, high-volume mail, or records-handling processes. Exposure to process-improvement or Lean/Six Sigma practices. Physical Requirements & Work Environment On-site role with a set schedule of 8:00 AM to 5:00 PM, Monday through Friday; consistent, punctual attendance is essential. Work is performed in an office / mailroom / production environment. Ability to stand, walk, bend, and remain mobile for extended periods. Ability to lift and move mail, packages, boxes, and supplies (typically up to 40-50 lbs) with or without reasonable accommodation. Comfortable operating standard mailroom and document-handling equipment (sorters, scanners, copiers, mail meters).
