Job Description

We are seeking an experienced, highly organized, and results-driven Director of Business Operations to oversee the administrative, financial, and business operations of our dental organization. This is a traveling leadership position that requires regular travel between our office locations to provide hands-on support, oversight, and operational leadership. This leadership position is responsible for ensuring that our offices operate efficiently, meet financial and operational goals, provide an excellent patient experience, and maintain strong accountability across front-office and administrative teams. The Director of Business Operations will work closely with ownership, doctors, office managers, our Director of Clinical Operations , and our Patient Flow Coordinator to ensure the business and clinical sides of the organization work together effectively. The ideal candidate is a strong leader who understands the financial and operational side of a dental practice and knows how to identify problems, improve systems, develop people, and hold teams accountable. Key ResponsibilitiesFinancial & Business Performance Monitor office production, collections, expenses, overhead, and overall financial performance. Review financial and operational trends and identify opportunities for improvement. Work with office leadership to improve collections, scheduling efficiency, case acceptance, and profitability. Identify unnecessary expenses and opportunities to improve operational efficiency. Assist ownership and leadership with budgeting, forecasting, and financial planning. Ensure office managers understand and are accountable for their financial and operational responsibilities. Monitor accounts receivable and collection trends and assist with corrective action when needed. Help ensure appropriate financial controls and business processes are followed throughout the organization. Front Office Leadership & Management Oversee, support, and develop office managers and front-office teams. Establish consistent front-office systems, expectations, and accountability across locations. Assist with recruiting, onboarding, training, coaching, and development of administrative team members. Address performance concerns and develop action plans when offices or team members are not meeting expectations. Ensure front-office teams maintain high standards of professionalism, communication, organization, and patient service. Help office managers resolve staffing, workflow, and administrative challenges. Conduct regular check-ins and operational reviews with office leadership. Scheduling & Patient Flow Work closely with the Patient Flow Coordinator to ensure efficient scheduling, appropriate patient flow, and effective use of doctor and hygiene capacity. Monitor doctor and hygiene schedules for openings, cancellations, no-shows, bottlenecks, and underutilized chair time. Review scheduling trends with the Patient Flow Coordinator and office leadership and develop strategies for improvement. Support the Patient Flow Coordinator in resolving complex scheduling situations involving doctors, patients, office teams, or multiple locations. Ensure scheduling systems, policies, and expectations are consistently followed across the organization. Monitor new-patient access, treatment scheduling, recall activity, and other patient-flow concerns. Work with office managers and doctors to improve schedule utilization and reduce unnecessary gaps. Partner with Clinical Operations when scheduling or patient-flow issues affect clinical efficiency. Use scheduling and patient-flow information to identify opportunities to improve productivity, patient experience, and office performance. Patient Experience & Complaint Resolution Assist with escalated patient complaints involving customer service, billing, scheduling, financial arrangements, communication, or other non-clinical concerns. Ensure patient concerns are handled professionally, fairly, consistently, and promptly. Support office managers and front-office teams with difficult or sensitive patient situations. Identify recurring patient-service concerns and implement systems to prevent future problems. Review patterns in patient complaints and use them to improve training, communication, and business processes. Coordinate with the Director of Clinical Operations when a patient concern involves both clinical and business-related issues. Doctor Administrative Support Serve as a resource for doctors regarding administrative and operational concerns. Help resolve issues involving schedules, staffing, front-office systems, patient service, financial processes, and business operations. Assist doctors with administrative challenges that may be affecting their efficiency or ability to provide care. Coordinate communication between doctors, office managers, the Patient Flow Coordinator, and Clinical Operations when operational concerns arise. Help establish clear expectations and accountability between doctors and administrative teams. Escalate significant operational or business concerns to ownership when appropriate. Operational Leadership Develop and implement standardized business processes across offices. Identify operational inefficiencies and create practical solutions. Conduct regular operational reviews with office managers and leadership. Develop corrective action plans when office performance falls below expectations. Support new initiatives, office growth, expansion, and organizational changes. Improve communication between ownership, doctors, office managers, the Patient Flow Coordinator, Clinical Operations, and front-office teams. Ensure policies and procedures are consistently implemented across locations. Help create and maintain SOPs for front-office, scheduling, financial, and administrative processes. Promote a culture of accountability, teamwork, professionalism, and continuous improvement. Qualifications Prior leadership experience in dental, healthcare, medical, or multi-location practice operations strongly preferred. Experience managing office managers, administrative leaders, and/or front-office teams. Strong understanding of dental practice financial and operational performance. Experience with scheduling, collections, accounts receivable, patient service, and administrative workflows. Strong financial acumen and ability to understand practice performance reports. Excellent leadership, communication, and interpersonal skills. Strong problem-solving and conflict-resolution abilities. Comfortable holding managers and team members accountable while maintaining a positive leadership approach. Ability to analyze financial and operational information and turn findings into actionable improvements. Highly organized and capable of managing multiple priorities and locations. Strong judgment, professionalism, confidentiality, and discretion. Ability to communicate effectively with doctors, managers, team members, and patients. Preferred Experience Multi-location dental practice or DSO experience Dental practice management software experience Revenue-cycle and dental insurance knowledge Budgeting and financial reporting experience Experience managing office managers or regional teams Experience working with centralized scheduling or patient-flow teams Experience developing SOPs and standardized operational systems Experience managing and resolving escalated patient concerns Who We Are Looking For We are looking for someone who is more than an administrator. This individual should think like an operator and business leader . The right person should be comfortable reviewing the financial performance of an office, identifying operational problems, coaching an office manager, working with the Patient Flow Coordinator to improve scheduling, assisting doctors with administrative challenges, handling escalated patient concerns, and developing a clear plan to improve performance. This person must be able to balance financial accountability, operational excellence, leadership, doctor support, and patient experience . Our goal is to find a leader who can help create consistency across our organization while allowing our doctors and clinical teams to focus on delivering excellent patient care.
