We are seeking a Project Estimator / Ordering Specialist / Procurement Manager with extensive experience in the hurricane windows, doors, and shutters industry. In this role, you will lead the estimation process for large-scale installation projects, proofread and enter orders into vendor portals, help with large project coordination, and provide technical support to the team. The role requires strong window and door product knowledge, construction experience, code and regulation knowledge, technical problem-solving skills, and the ability to coordinate information across multiple departments. Detailed Responsibilities Project Quoting and Estimation Convert the on-site information provided by salesman into proposals / quotes for customers Identify potential complications that may arise from the job and incorporate that complexity into costing Identify when additional equipment may be needed for job. Reach out to equipment vendors to get accurate costing Provide technical guidance and job costing for complicated installations based on product knowledge, code requirements, manufacturer limitations, and prior project experience. Negotiate pricing with vendors to create the most competitive quote for the customer Research prior orders and projects to resolve current issues. Project Review and Proofing Review contracts, proposals, estimates, field measurements, drawings, floor plans, photographs, and project notes for accuracy and completeness. Compare field measurements against contracted products, quantities, configurations, and installation requirements. Identify missing measurements, inaccessible openings, incomplete documentation, and discrepancies between the contract and actual field conditions. Verify that all openings are accounted for and properly identified before materials are ordered. Research prior projects, property records, building plans, product information, and other available sources when project documentation is incomplete. Communicate discrepancies and obtain the information or decisions needed to move projects forward. Maintain accurate records of corrections, exclusions, revisions, and unresolved items. Purchasing and Order Entry Convert approved contracts and field measurements into accurate manufacturer orders. Enter products using the correct manufacturer ordering system, configuration, dimensions, glass, frame, finish, hardware, screen, and accessory selections. Verify order acknowledgments against submitted purchase orders and project requirements. Review pricing, quantities, lead times, shipping information, and special-order conditions. Identify and correct acknowledgment discrepancies before orders are released for production. Maintain organized purchasing records and supporting documentation. Process order revisions, additions, remakes, and replacement materials when required. Coordinate with accounting and billing personnel regarding purchase orders, deposits, invoices, credits, and order-related questions. Large and Complex Project Coordination Organize multi-unit, multi-building, association, and phased projects for accurate ordering and installation. Develop consistent opening-numbering systems that can be followed across contracts, measurements, floor plans, permits, engineering, ordering, delivery, and installation. Break large projects into appropriate buildings, units, phases, and releases. Coordinate project sequencing based on permitting, manufacturing, delivery, and installation requirements. Maintain building- and unit-level tracking of openings, products, exclusions, missing information, approvals, and order status. Review association requirements and compare them with field conditions and proposed products. Identify project-wide discrepancies and recurring conditions before they affect multiple orders. Support reports comparing contracted, measured, approved, and ordered products. Help coordinate special delivery, staging, labeling, and installation requirements. Permitting and Engineering Support Provide permitting personnel with accurate product, opening, and project information. Coordinate product approvals, NOAs, design pressures, drawings, floor plans, and supporting documents. Review permit documentation against the actual products and openings being ordered. Identify inconsistencies between contracts, field measurements, engineering documents, permit packages, and purchase orders. Communicate with engineers when site-specific engineering or technical clarification is required. Help ensure that opening numbers remain consistent across engineering, permitting, ordering, and installation documents. Process Improvement and Training Develop standardized project-review and proofing procedures. Create checklists and documentation requirements for sales, estimating, and field measuring. Improve handoffs between sales, measuring, estimating, permitting, purchasing, installation, service, and billing. Identify recurring errors, delays, and bottlenecks and recommend corrective procedures. Document manufacturer ordering procedures and internal best practices. Candidate Qualifications (Required) 5+ years of relevant experience in the window and door industry, construction, building products, or a closely related field. Direct experience with window and door estimating, field measuring, purchasing, project coordination, installation, or order processing. Working knowledge of impact-resistant windows and doors. Ability to read and interpret contracts, estimates, field measurements, construction drawings, floor plans, and product specifications. Familiarity with window and door types, configurations, glass options, frame materials, hardware, screens, accessories, and installation methods. Understanding of design pressures and the ability to match project requirements with appropriate products and approvals. Familiarity with Florida building-code requirements, Florida Product Approvals, and Miami-Dade NOAs. Ability to recognize common egress, safety-glazing, impact, permitting, and product-application issues. Experience entering detailed manufacturer orders accurately. Experience communicating with manufacturers, vendors, engineers, contractors, and internal departments. Strong computer skills, including Excel, PDF review and markup, email, document organization, and web-based manufacturer ordering systems. Candidate Qualifications (Preferred) Experience with installation of windows and doors in Florida. Experience coordinating condominium, homeowners-association, multi-unit, or multi-building projects. Experience with permitting and engineering documentation. Familiarity with project phasing, opening schedules, unit schedules, and large order releases. Experience researching property records, permits, product approvals, and historical project information. Practical knowledge of field conditions and window and door installation. Experience training employees or developing operating procedures. Required Skills and Characteristics Exceptional attention to detail and accuracy. Strong technical and mechanical aptitude. Ability to identify inconsistencies before they become costly ordering or installation problems. Strong research and problem-solving abilities. Ability to reconstruct and organize incomplete or inconsistent project information. Good judgment and willingness to ask for clarification when information is missing. Ability to manage multiple projects, deadlines, buildings, units, and order stages simultaneously. Clear written and verbal communication. Ability to work effectively across several departments. Strong organizational and documentation habits. Ability to remain organized and accurate during periods of high seasonal volume.
