VP of Finance Position Summary The Purchasing Manager is responsible for leading procurement strategy and daily purchasing operations for a fragrance manufacturing facility. This role ensures timely, cost-effective sourcing of raw materials, packaging, and production supplies while maintaining quality standards and vendor compliance. The Purchasing Manager manages one direct report and plays a critical role in cost control, supplier relationships, inventory planning, and operational continuity. Key Responsibilities Procurement & Sourcing Strategy Develop and execute purchasing strategies aligned with production forecasts Source and negotiate pricing for fragrance oils, aroma chemicals, alcohol, packaging, and manufacturing supplies Evaluate suppliers for cost, quality, reliability, and compliance Lead contract negotiations and manage vendor agreements Identify alternative suppliers to mitigate supply chain risk Supplier Management Build and maintain strong vendor relationships Monitor supplier performance and resolve quality or delivery issues Conduct cost analysis and implement cost-saving initiatives Ensure suppliers meet regulatory and documentation requirements (SDS, COAs, IFRA compliance where applicable) Inventory & Production Coordination- Take ownership of inventory accuracy and integrity across all raw materials, work-in-process, and finished goods
- Partner with Production, Planning, and Shipping to ensure consistent and reliable material availability for all production requirements
- Monitor, analyze, and actively manage inventory levels to prevent stockouts, excess inventory, obsolescence, and production disruptions
- Establish, maintain, and continuously optimize reorder points and safety stock levels based on demand variability and lead times
- Support and contribute to forecasting and demand planning processes to align inventory with production schedules and business needs
- Ensure all inventory transactions are accurate, timely, and properly recorded within the ERP system
- Track and manage lot numbers, expiration dates, and full material traceability requirements
- Enforce strict adherence to
FIFO/FEFO
inventory practices- Oversee cycle count programs and physical inventories, ensuring discrepancies are identified, investigated, and resolved promptly
- Analyze inventory trends, usage patterns, and variances to drive improvements in inventory control and efficiency
- Identify and implement process improvements to strengthen inventory accuracy, visibility, and reporting Leadership Manage and develop one Purchasing Coordinator / Buyer Provide direction on daily purchasing priorities Review and approve purchase orders Foster accountability, urgency, and accuracy within the purchasing function Process Improvement & Cost Control Analyze purchasing data and trends to improve margins Track and report KPIs (cost savings, supplier performance, on-time delivery, inventory turns) Improve purchasing workflows and ERP utilization Drive continuous improvement initiatives within the supply chain Compliance & Documentation • Ensure proper documentation, handling, and storage of all regulated materials in alignment with company and industry standards • Maintain accurate and complete purchasing and inventory records within the ERP system • Support internal audits and regulatory inspections by ensuring all documentation is organized, accurate, and audit-ready • Ensure compliance with internal policies, financial controls, and regulatory requirements across both purchasing and inventory functions Qualifications 5+ years of purchasing or procurement experience in a manufacturing environment 2+ years of leadership or supervisory experience preferred Experience sourcing raw materials and packaging (fragrance, cosmetics, chemical, or CPG industry preferred) Strong negotiation and vendor management skills ERP system experience required Prefered BA in the following: Business Administration Supply Chain Management Logistics Finance Economics If you feel this opportunity is for you please apply and send your resume directly to brittneyd@afi-usa.
