Job Summary The Regional Volunteer Center Program Coordinator provides essential project, administrative, and communications support to the Regional Volunteer Center Planning Director as Jones Center leads the development of Northwest Arkansas' first regional volunteer center. This role helps keep planning workstreams on track by coordinating meetings and events, managing calendars and materials, supporting stakeholder engagement, and maintaining organized documentation and reporting. Funded through a 12-month, $1.2 million grant from Walmart For Good, the planning office is responsible for preparing the volunteer center for a successful 2027 launch. The Coordinator will work closely with Jones Center team members, Walmart For Good and Spark Good partners, consultants, and community stakeholders to support logistics, information flow, and data tracking that enable high-quality planning and timely deliverables. Key Responsibilities Program & Project Coordination Support day-to-day coordination of the volunteer center planning work, including task tracking, timelines, and follow-up on action items across workstreams. Maintain organized project files, templates, and documentation (meeting notes, decisions, work plans, and deliverables). Draft routine correspondence, summaries, and internal updates; help prepare presentations and briefing materials.

May 5, 2026 Coordinate logistics for consultant engagements and support the collection of inputs needed for analysis and planning outputs. Stakeholder Engagement & Convenings Coordinate meetings for advisory councils and stakeholder groups, including scheduling, agendas, materials, minutes, and follow-up communications. In conjunction with the Regional Volunteer Center Planning Director, attend stakeholder meetings as needed. Support community feedback events, site visits, and stakeholder gatherings (registrations, itineraries, travel logistics, room setup, and vendor coordination as needed). Maintain stakeholder contact lists and engagement records; help ensure timely, consistent outreach. Communications & Visibility Support In partnership with the Regional Volunteer Center Planning Director and the Jones Center's Director of Marketing & Communications, support the development and distribution of updates, invitations, and stakeholder-facing materials for the volunteer center planning effort. Support content collection and coordination (e.g., quotes, photos, highlights, success stories) for internal and external communications, as appropriate. Data, Technology, & Reporting Support Support collection, organization, and basic analysis of program data to inform KPIs, stakeholder reporting, and planning decisions. Assist with the administration of project management tools, shared calendars, and collaboration platforms to keep information accurate and current. In coordination with the Planning Director and Jones Center finance team, help track grant-related expenses, invoices, and documentation for reimbursements and reporting. Support CRM data entry, maintenance, and report generation, as needed, to meet tracking and reporting needs. Additional Responsibilities Able to perform other general duties and special projects assigned. Minimum Qualifications Requires Skills and Abilities Strong organizational skills and attention to detail; ability to manage multiple priorities and deadlines. Excellent written and verbal communication skills; able to communicate professionally with corporate, nonprofit, and civic partners. Skilled in meeting coordination (agendas, minutes, follow-up) and event logistics. Proficiency with Microsoft Office (Excel, Word, PowerPoint, Outlook) and comfort learning new technology platforms and AI tools to improve efficiency. Ability to work effectively both independently and as part of a team; demonstrates initiative and follow-through. Discretion and professionalism when handling sensitive information. Education, Training, and Experience Associate or bachelor's degree or equivalent experience in nonprofit administration, public administration, communications, project management, or a related field. 2+ years of experience in program coordination, project support, administrative support, event planning, or a related role. Experience supporting cross-functional teams and coordinating with external partners is preferred. Familiarity with volunteer engagement, nonprofits, or community-based initiatives is a plus.
