Job Description Program Relations Coordinator Second Harvest of the Greater Valley ("SHGV")

Position Overview The Program Relations Coordinator is a key member of the Strategy and Partnerships team and is responsible for the day-to-day coordination of Second Harvest of the Greater Valley program sites across multiple food distribution programs. This role serves as the primary point of contact for program sites and is responsible for maintaining communication, coordinating schedules, conducting site visits, monitoring compliance, providing training, and maintaining program records and data. The Program Relations Coordinator works closely with warehouse, food sourcing, and development, and is responsible for effective program implementation and for ensuring program sites operate in alignment with SHGV standards, Feeding America requirements, and program expectations. Key Responsibilities Serve as the primary point of contact for program sites. Manage day-to-day communication with program sites regarding schedules, requirements, and operational updates. Onboard new program sites and support operational readiness. Train program sites on procedures, reporting expectations, and operational requirements. Coordinate schedules, calendars, and distribution timing across programs. Collaborate with warehouse and food sourcing on logistics, site needs, and day-to-day program coordination. Monitor compliance with SHGV standards, Feeding America requirements, and program expectations. Conduct site monitoring visits, document findings, and follow up with program sites on any required corrective actions. Address any site and program issues with level appropriate site personnel and elevate concerns when needed." Maintain site files, monitoring records, compliance documentation, and related program records. Track and maintain data in reporting systems and internal platforms. Communicate site issues, operational challenges, and field feedback to Supervisor Represent SHGV at site meetings, trainings, and program-related community events when assigned. Participate in organization-wide meetings, in-service trainings, and professional development opportunities. Support implementation of updated processes and workflow improvements related to program operations. Perform other duties as assigned. EDUCATION and/or
EXPERIENCE
High School Diploma or GED required. Two to three years of experience in program coordination, community programs, logistics coordination, compliance support, or related field preferred. Experience working with community-based programs, partner sites, or nonprofit operations is preferred.

Ask clarifying questions and respond appropriately to questions from supervisors, staff, and program sites. Bilingual Spanish/English preferred.
Mathematical Skills:
Basic ability to calculate figures and amounts including addition, subtraction, multiplication, division, and percentages. Ability to apply basic math concepts to reports and tracking.
Computer Skills:
Experience using network-based systems and shared file structures.
Excel:
Ability to enter data, maintain spreadsheets, and apply basic formulas and formatting.
Word:
Ability to prepare letters, forms, and documents with proper formatting and spell check. Ability to learn internal reporting platforms and program tracking systems.
PHYSICAL DEMANDS
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions. While performing the duties of this job, the employee must have the ability to sit, stand, walk, bend, squat, climb, kneel; use hands to finger control; and talk or hear. The employee is occasionally required to reach with hands and arms. The employee must occasionally lift and/or move up to 20 pounds. Specific vision abilities required by this job include close vision and the ability to adjust focus.

Must possess a valid California Driver's License; personal automobile liability insurance; a vehicle available for use daily; and a driving record that meets the standards outlined in the Company's hiring policies. Business exclusions on automobile insurance policies are prohibited. Employee automobile insurance must include a certificate of insurance verifying their policy does not include a Business Exclusion. Must be willing to complete a drug screen and background check.
