PULSE is a joint institute of Stanford University and SLAC National Accelerator Laboratory under the Vice Provost and Dean of Research (VPDoR). It is a dynamic community of more than 200 individuals, including faculty, staff, postdoctoral fellows, and students. Our staff is critical in realizing our mission to advance the frontiers of ultrafast science, train the next generation of researchers, and share our discoveries with the public. This position will also play a key role in building our brand as we seek to better position the department within Stanford and the external community. The Program Coordinator will work in a fast-paced, dynamic environment, successfully navigating changing priorities, and is expected to maintain a high degree of discretion and confidentiality with minimal supervision, while fostering a positive, respectful, and productive work culture. The successful candidate will report to the PULSE Associate Director, work actively with the PULSE Director, and be part of a collaborative team, engaging in cross-training and providing backup administrative coverage when necessary. This position is well-suited for an organized self-starter interested in proactively supporting our community and programs, identifying and overcoming barriers to progress, and bringing a collaborative and enthusiastic approach to their work. Candidates should possess superior administrative skills, high flexibility, responsiveness, and the capability to manage competing priorities independently and with initiative. Primary Duties:
Regular and recurring program management Website maintenance Facility management Procurement and asset management Event coordination Specific responsibilities include, but are not limited to: Responding to inquiries and determining appropriate actions as required. Working closely with alumni to develop, implement, and evaluate programs and activities that serve and engage the Alumni. Performing duties associated with scheduling, organizing, and operating conferences, seminars, and events, including recommending vendors for services, overseeing the production and distribution of materials, coordinating logistics, and serving as a liaison with internal and external vendors. Drafting and generating routine communications; coordinating production (formatting, copying, etc.) and dissemination of documents, such as presentations, course handouts, grant proposals, conference and seminar materials, reports, brochures, and displays. Developing communications of moderate complexity for various content delivery channels. Coordinating office moves. Maintaining the website, including updating and managing content, and ensuring the accuracy of information detailed on the website. Collaborating with Institutional Communicators on media relations content and other areas.Note:
This is a 24-month fixed term position with the possibility of extension or conversion to regular continuing position contingent on budget and business needs. To be successful in this position you will bring: High school diploma (Bachelor's degree preferred) and four years of relevant experience, or combination of education and relevant experience. Excellent written and oral communication skills. Education and/or experience in marketing and branding Experience producing newsletters and other promotional materials through department websites, social media and print Experience with managing projects to specifications and to meet expected deadlines. Demonstrated ability to prioritize own work and to make independent decisions about rapidly changing priorities. Demonstrated ability to take initiative and ownership of projects. Excellent organizational skills and attention to detail. Ability to routinely and independently exercise sound judgment in making decisions. Advanced computer skills and demonstrated experience with office software, travel systems, collaboration tools, and email applications - especially Google and Office 365 productivity suites. Ability to adapt to new tools and technologies. Demonstrated experience working independently and as part of a team. Ability to direct the work of others, for jobs requiring supervision. In addition, preferred requirements include: Office 365 experience with Outlook, Excel, Word merge, and PowerPoint presentation development preferred. Google Workspace experience with Sheets, Docs, Slides, and file management systems preferred. Experience with website maintenance in Drupal and Google Sites preferred.SLAC employee competencies:

To obtain this credential, employees must successfully complete the applicable tier of federal background investigation post hire and receive a favorable federal adjudication. The tier of federal background investigation will be determined by job duties and national security or public trust responsibilities associated with the job. F The expected pay range for this position is $39.20 to $45.56 per hour. SLAC National Accelerator Laboratory/Stanford University provides pay ranges representing its good faith estimate of the hourly wage the university reasonably expects to pay for a position upon hire. The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location and external market pay for comparable jobs.
