The Program Coordinator role for Boys & Girls Clubs of Northwest San Diego at the Oceanside Clubhouse combines both of those worlds in an exciting, fun-filled, dual manner
- being responsible for (1) hands-on care and engaging oversight of the children during a portion of the After School programs, and (2) in taking the initiative to research, create, and then collaborate in expanding and enhancing the Oceanside Clubhouse's After-School programs.
Work Schedule Expectations:
Here's how the Program Coordinator role looks during the week, combining administrative planning time and direct program delivery with youth:Monday, Tuesday, Thursday, Friday:
Program time with youth from 3:30pm-5:30pm Wednesday (Minimum Day): Program time with youth from 12:30pm-5:30pm Remaining scheduled hours are dedicated to program planning, coordination, and administrative responsibilities. In many ways, the Program Coordinator serves as a day-to-day resource for staff, supports program quality and outcomes, and supports clubhouse operations as needed. Sometimes, this individuals may be needed to step in to support operations in the absence of the Oceanside Clubhouse Manager. Here are more details about the Program Coordinator role : The Program Coordinator works directly with youth ages 5-18 and is actively engaged in daily program delivery, including supervising members and leading or supporting activities. Under the direction of the Clubhouse Manager, this role supports program planning, tracks participation and outcomes, and ensures grant-funded programs are implemented with fidelity. This position also provides program coverage as needed and helps maintain a safe, structured, and engaging environment for members.Essential Duties and Responsibilities:
Administrative 1. Ensure compliance with organizational policies, procedures, and program expectations. 2. Support accurate use of membership and attendance systems (TRAX), ensuring timely and accurate data entry. 3. Maintain program records including attendance, participation, and activity tracking. 4. Assist with program reporting and documentation related to outcomes and impact. 5. Communicate program needs, supplies, and scheduling updates to clubhouse leadership. Club Experience and Safety 1. Maintain a safe, clean, and organized program environment. 2. Support implementation of safety procedures, including proper supervision and behavior management. 3. Promote a positive club culture that encourages participation, engagement, and active involvement in programs. 4. Provide guidance and role modeling to support member development. 5. Provide direct supervision of youth, ensuring a safe and structured environment at all times. Leadership and Support 1. Serve as a day-to-day resource for program staff, providing guidance and support during programming hours. 2. Reinforce expectations around program structure, engagement, and youth supervision. 3. Support onboarding and training of new staff. 4. Step in to support clubhouse operations and decision-making when the Clubhouse Manager is not on site. 5. Maintain positive working relationships with staff, members, and families. Programs and Youth Development 1. Lead and support weekly and seasonal program planning across elementary and teen groups. 2. Ensure programs are structured, engaging, and aligned with youth development goals. 3. Support implementation of daily program schedules and ensure consistency across program areas. 4. Provide direct program coverage by leading or assisting activities as needed. 5. Encourage participation and provide constructive feedback to members. 6. Research and implement Boys & Girls Clubs of America (BGCA) programming and resources to strengthen program quality and support youth outcomes. Program Evaluation and Reporting 1. Track attendance, participation, and engagement across programs. 2. Monitor trends and identify gaps in program participation or effectiveness. 3. Ensure accurate and timely data collection for reporting purposes. 4. Support basic evaluation of program impact and outcomes. Grant Program Compliance 1. Ensure grant-funded programs are implemented as designed. 2. Monitor program schedules, activities, and participation to meet grant requirements. 3. Support staff in aligning programming with grant expectations. 4. Identify and communicate any risks related to grant compliance. Team Support 1. Assist with special events, program initiatives, and seasonal programming. 2. Provide coverage and support across program areas as needed. 3. Perform other duties as assigned to support clubhouse operations.Minimum Qualifications Education :
High School Diploma or GED required Experience Minimum of 2 years experience working in youth programs, after-school settings, or similar environment Experience working with youth ages 5-18 Bilingual Spanish/English preferred Knowledge, skills and ability: Strong organizational and time management skills Ability to manage multiple priorities in a fast-paced environment Strong communication skills with youth and staff Ability to support and guide staff without direct supervision authority Basic computer skills and ability to learn data tracking systems The information presented indicates the general nature and level of work expected of employees in this classification.
