Pay:
$19 - $22 per hour Position Summary Seniors First is seeking a Volunteer & Programs Coordinator to manage volunteer relationships, coordinate volunteer activities, and support the operations of multiple programs serving older adults throughout Placer County. This is more than an administrative or scheduling position. We are looking for someone who can independently manage volunteer relationships, stay organized across multiple programs, recognize when something needs attention, and follow through without constant supervision. The Coordinator will receive training and guidance from experienced program staff but is expected to take responsibility for managing their assigned duties. The successful candidate will combine excellent customer service, communication, and computer skills with careful recordkeeping and practical problem-solving. This position involves a variety of volunteer coordination and program support responsibilities, which may change or expand as organizational needs evolve. Essential Duties & Responsibilities Serve as the primary point of contact for volunteers, responding to phone calls, emails, questions, and concerns in a friendly, professional, and timely manner. Explain Seniors First programs and volunteer opportunities to interested individuals, helping them understand the requirements and expectations of volunteering. Manage the volunteer application and onboarding process, including collecting required documents, coordinating background checks, tracking outstanding requirements, and following up with applicants. Schedule and conduct new volunteer orientations to review program policies, procedures, responsibilities, and scheduling systems. Create and maintain volunteer profiles, records, and required documentation, including tracking annual renewals and updates. Teach volunteers how to use online scheduling platforms and provide ongoing assistance with signing up for assignments, cancellations, account access, and other questions. Manage volunteer schedules and assignments, including regular schedules, substitute coverage, availability, vacations, and changes. Review upcoming schedules, identify open assignments, and contact volunteers by phone or email to help ensure adequate coverage. Communicate with volunteers regarding schedule changes, program updates, delivery concerns, client issues, and other matters that may arise. Work closely with program managers and other staff to coordinate volunteer assignments, address operational issues, and support daily program activities. Assist with onboarding new program clients, explaining program procedures, coordinating scheduling, and helping clients use applicable software and services. Develop and maintain a thorough understanding of assigned programs and their procedures to provide accurate information and assistance to volunteers and clients. Prepare and distribute supplies, schedules, and other materials needed for program operations. Organize and coordinate volunteer activities, including corporate volunteer events, grocery bagging, food distribution projects, and other community initiatives. Assist with volunteer recognition and appreciation activities. Maintain accurate records, track outstanding requests and tasks, and follow up to ensure responsibilities are completed in a timely manner. Assist with daily program operations, deliveries, special projects, administrative tasks, and other organizational activities as assigned. This job description is not intended to be an exhaustive list of all duties and responsibilities. Responsibilities may change or expand based on program needs and organizational priorities. Qualifications The ideal candidate will have: Exceptional customer service and relationship-building skills, with a welcoming, patient, and professional approach. Excellent verbal and written communication skills, including strong phone and email etiquette. A proven ability to work independently, take initiative, anticipate needs, and follow through without constant supervision. Strong organization, attention to detail, and the ability to balance multiple priorities and deadlines. Good judgment, resourcefulness, and the ability to independently solve routine problems while knowing when to ask for guidance. Strong computer skills, including confidence using email, Microsoft Office, databases, scheduling applications, and other software. The ability to learn new systems quickly and patiently help volunteers or clients use online tools. The ability to maintain accurate records and complete detailed onboarding and scheduling tasks reliably. Excellent time management and the ability to work productively within a 20-hour weekly schedule. The ability to collaborate effectively with program managers, volunteers, clients, and coworkers. A positive, dependable, self-motivated attitude and commitment to the Seniors First mission. Experience in volunteer coordination, scheduling, customer service, nonprofit organizations, community programs, or event coordination is preferred but not required. Volunteer screening, onboarding, and other applicable program-specific requirements. A valid driver's license and satisfactory driving record for assigned driving responsibilities. The ability to lift and carry up to 40 pounds when assisting with program activities or events. Employment is contingent upon completion of any required background screening, conducted in accordance with applicable law.
