As a Program Manager, CAIT , you will manage and coordinate the operational implementation of the CAIT initiative, supporting grant administration, program activities, data management, and professional development logistics. In collaboration with the Program Director, coordinate program deliverables, reporting requirements, and operational processes to ensure effective implementation. This role supports Implementation Coaches and maintains strong coordination with community partners to advance program goals and compliance with grant expectations. Principal Duties and Responsibilities:
Coordinate day-to-day program operations to support the effective implementation of the CAIT initiative, ensuring alignment with grant requirements and organizational priorities. Serve as the operational liaison between the Program Director and Implementation Coaches, supporting communication, coordination of activities, and timely completion of program deliverables. In collaboration with the Program Director, coordinate grant data administration, support recruitment efforts, and monitor budget utilization to ensure alignment with contract requirements and program implementation goals. Monitor program deliverables, timelines, and documentation submitted by Implementation Coaches, ensuring consistency, accuracy, and compliance with grant expectations. Review and analyze program data in collaboration with the Program Director and team to support continuous program improvement and informed decision-making. Coordinate the planning and logistics of professional development and training activities, including trainer communication, participant registration, materials preparation, and documentation of participation. Maintain accurate and consistent program data across all systems, including internal databases and external reporting platforms such as Teaching Strategies GOLD dashboards. Ensure accurate documentation of training participation and professional development records, including processing In-Service documentation and certificates. Support quality assurance and monitoring processes, including preparation of documentation required for funder reporting and monitoring visits. Maintain collaborative relationships with key partners (e.g., The Children's Trust, Early Learning Coalition, and other community partners) to support coordination of CAIT activities and communication of program information. Coordinate internal meetings, data review sessions, and program calendars to ensure effective planning, implementation, and reporting of CAIT activities. Support recruitment and onboarding processes for CAIT staff and program participants, including coordinating interviews and maintaining related documentation. Communicate emerging program needs, challenges, and operational updates to the Program Director and support the implementation of solutions that strengthen program effectiveness.
Requirements:
Education Requirements:
Bachelor's degree in Early Childhood Education, Education, Public Administration, or a related field, or equivalent experience.
Experience Requirements :
Minimum of 3-5 years of experience in program coordination, early childhood education, or grant-funded initiatives. Experience with data systems, reporting, program evaluation, coordinating professional development, and training logistics.
Technology Requirements:
Advanced Outlook, intermediate Microsoft Office suite, and Google Sheets. Zoom, Excel, Microsoft Teams, and knowledge of modern web browsers.
Other Essential Knowledge/Skills:
Excellent organizational, verbal, and written communication skills in English. Bilingual English/Spanish preferred. Attention to detail and ability to prioritize tasks to meet stringent deadlines.
