Martin County, Florida (In-Person) About the Organization The Education Foundation of Martin County (EFMC) is a 501(c)(3) nonprofit organization comprised of business leaders, community volunteers, and school officials with a shared mission to enrich and enhance educational opportunities and support for all Martin County public school students and teachers. Through innovative programs, strategic partnerships, grants, volunteer engagement, and community support, EFMC works to ensure every student has the opportunity to succeed. Position Overview The Organizational Support Assistant provides administrative, operational, and programmatic support to help ensure the effective day-to-day functioning of the Education Foundation of Martin County. This individual must be an exceptional communicator, both written and verbal, with strong organizational skills, attention to detail, and the ability to thrive in a fast-paced, collaborative nonprofit environment. The position reports directly to the Executive Director and works closely with EFMC staff, volunteers, educators, donors, and community partners to advance the Foundation's mission and support organizational growth and impact. Key Responsibilities:
Programming & Events Provide administrative and logistical support for EFMC programs, initiatives, and special events. Assist in tracking and coordinating program activities, outcomes, and donor engagement efforts. Contact potential donors and businesses to secure auction items and sponsorship support for fundraising events. Maintain auction and event data within fundraising software platforms. Coordinate meeting logistics, including scheduling, room setup, refreshments, supplies, and meeting materials. Attend and assist with Foundation events and activities as needed; limited evening and weekend work may be required. Ensure program timelines, administrative procedures, and organizational policies are followed. Collaborate with school district staff, teachers, volunteers, donors, and community partners to support program success. Maintain accurate program records, data collection, and documentation for internal and external reporting purposes. Assist with preparing reports highlighting program achievements, participation, outcomes, and organizational impact. Coordinate volunteer recruitment, onboarding, training, scheduling, and retention efforts to support Foundation programs and operations. Administrative Support Maintain administrative records, databases, organizational files, and digital archives. Prepare and distribute Board of Directors and committee meeting packets. Attend meetings and record minutes as assigned. Answer phones, greet visitors, route correspondence, and provide exceptional customer service. Maintain calendars, appointments, and scheduling for organizational activities. Assist with donor acknowledgements, mailings, and routine correspondence. Provide backup support for all office functions and operations. Run occasional business-related errands as needed. Provide direct support to the Executive Director and other EFMC staff as assigned. Required Skills & Qualifications Strong written, verbal, and interpersonal communication skills. Exceptional attention to detail, organization, and time management. Ability to effectively manage multiple projects and priorities. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Ability to update website and social media content. Familiarity with email marketing platforms and donor database systems (e.g., DonorPerfect or similar CRM software). Working knowledge of general office procedures and equipment. Ability to work independently, exercise sound judgment, and maintain confidentiality. Strong customer service and relationship-building skills. Graphic design experience and/or familiarity with Canva, Adobe Express, AI-powered design tools, or similar platforms is a plus. Basic bookkeeping or QuickBooks experience is preferred, but not required. Valid driver's license and reliable transportation required. Work Schedule:
