This is NOT a remote position - the job requires in-person work.Duties and Responsibilities:

- Prepare reports, spreadsheets, and basic statistical summaries to support decision-making, including budget tracking and program-related data.
- Utilize software programs used by the campus and the University of Hawaii (UH) system, including Microsoft Office, student information system, and institutional research, human resources, and fiscal management systems.
- Provide day-to-day administrative and operational support to the Office of the Vice Chancellor for Academic Affairs.
- Assist in the preparation and formatting of recurring reports related to institutional and program accreditation, compliance, federal, and system requirements.
- Support program assessment activities, including data collection and organization related to student learning outcomes program evaluation.
- Assist with data collection and reporting for program reviews and accreditation processes.
- Maintain organized records and documentation for academic programs, including program reviews, accreditation materials, and articulation agreements.
- Coordinate logistics for professional development opportunities for faculty, including academic conference planning and travel coordination.
- Compile and track student-related data for academic programs, including awards, dean's list, scholarships, and more.
- Prepare reports and statistical graphs to track Academic Affairs expenditures across multiple funding sources.
- Review reports and documentation for completeness and alignment with appropriate College and University policies.
- Provide administrative support for recruitment and hiring processes within the Office of the Vice Chancellor for Academic Affairs.
- Hire, supervise, schedule, train, and approve work hours for Student Assistants.
- Assist with budget monitoring for the Academic Affairs accounts, including
TFSP, RTRF, UH
Foundation, and other funding categories; provide budget reports to supervisor.- Track academic program expenses and supply needs; coordinate purchase requests with various campus Fiscal Officers; maintain and update inventory of equipment and office supplies.
- Assist in tracking and report on progress on Academic Affairs goals and initiatives, including semester-based updates.
- Serve as a point of contact for internal and external stakeholders, including government officials. UH< Maui College, and UH system personnel and community stakeholders regarding Academic Affairs. Provides general program management support.
- Coordinates and manages complex schedules and calendars of the VC of Academic Affairs and related initiatives, exercising appropriate discretion and judgement.
Minimum Qualifications:
Education and Professional Work Experience:
Possession of a baccalaureate degree in Education, Business Administration, Liberal Arts, or related field and zero years of progressively responsible professional experience with responsibilities for project management, statistical, financial, or data analysis; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills, and abilities as indicated.Knowledge, Skills, and Abilities:
Functional knowledge of principles, practices, and techniques in the area of business or higher education demonstrated by knowledge, understanding, and ability to apply concepts and terminology. Functional knowledge and understanding of principles, theories, federal and state laws, rules, regulations, and systems associated with functional knowledge of business or higher education. Demonstrated ability to recognize problems, identify possible causes, and resolve the full range of problems that may commonly occur in the area of business or higher education. Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively in a variety of situations. Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members, and individuals. Demonstrated ability to operate a personal computer and apply word processing software.Supplemental Minimum Qualifications:
Use and knowledge of e-mail, word processing, and presentation software; excellent communication skills, including the ability to read and understand oral and written instructions; and speak and write effectively. Project management (including planning, organizing, scheduling, and prioritizing); Basic budgeting procedures and financial recordkeeping. Documentation and records management. Able to work effectively in a collaborative team environment. Must be able to comprehend, analyze, organize, and prioritize a large volume and wide variety of information with time limitations. Requires concentration, alertness, and attention to detail. Must be able to exercise discretion and independent judgment with little or no supervision. Must be results-oriented Must be willing to take initiative and responsibility. Requires a wide degree of creativity, innovation, flexibility, and ability to adapt to change and manage competing demands. Must be able to perform under highly stressful conditions while maintaining a courteous and professional demeanor.Desirable Qualifications:
Knowledge of software programs used by the campus and the UH system. Knowledge of creating spreadsheets and budget reports. Knowledge ofcreatingstatistical graphs. Familiarity with tracking student progress. Knowledge of budgets. Knowledge of the UH hiring process. Ability to track expenditures.
