As an Action Officer, you will be on a dynamic team providing technical and programmatic support to the AUKUS Integration & Acquisition U.S. Program Office, Strategy and Solutions Directorate at the Washington Navy Yard in Washington, DC! The
NAVSEA AUKUS
Program within Team Submarine is responsible for providing integrated support to the Australian Nuclear-Powered Submarine Initiative.
In this role, you will
- Report to and provide counsel for a Navy executive/senior level manager
O-6/GS-15
- Manage the Program Office Action Tracker for various personnel and tasks, including clerical, administrative, logistical support, and information technology personnel. Be familiar with a variety of the program office's technical efforts, internal practices and procedures, and both internal and external stakeholders
- Facilitate development, implementation, and revision of work procedures and standards with key stakeholders across multiple organizations to improve efficiency and effectiveness of assigned operations
- Assist in ensuring compliance of program office personnel with established program office standards
- Office Management; organize and manage office operations and procedures, including scheduling, correspondence, filing, developing policy, and data entry to ensure efficient day-to-day operations
- Document Preparation; prepare, proofread, and edit documents, presentations, and reports to support business processes and project objectives
- Meeting Coordination; schedule and coordinate meetings, including preparing agendas, taking minutes, and tracking action items to ensure effective communication and follow-up
- Travel and Expense Management; arrange travel logistics and process travel expense reports, ensuring adnce to company policies and procedures
- Communication Support; act as a point of contact for internal and external communications, including handling inquiries, directing calls, and distributing correspondence
- Project Assistance; provide administrative support to various projects, including maintaining project documentation, tracking progress, and assisting with project-related tasks as needed
- Record Keeping; maintain accurate records and databases, ensuring data integrity and confidentiality, in compliance with company policies and government regulations
- Supply Management; manage office supplies inventory, ensuring the availability of necessary materials and placing orders as needed.
To be successful in this role, you will need
- An active Secret clearance
- U.S Citizenship required
- A Bachelor's Degree (or a High School Diploma/GED with minimum 8 years of experience in a government or defense-related environment
- A minimum of 4 years' experience in a government or defense-related environment
- Excellent written and oral communications skills
- Strong organizational, communication, and multitasking skills with the ability to prioritize tasks and work under deadlines
- Ability to work independently, make independent decisions, and be part of a cohesive team
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Microsoft Teams, and Microsoft SharePoint, and general technical proficiency
- Ability to interact with senior management on complex technical issues
- Ability to work both in a team environment and independently, and often under short, multiple deadlines
- Ability to be a team player, work well with others and contribute positively to work/team environment while continually seeking ways to enhance contribution to the team. Have a strong customer support mindset
- Reporting to work at the Navy Yard 5 days a week except for government holidays is expected with occasional exceptions
- Ability to travel up to 10%Additional desired experience and skills
- Active NMCI/Flankspeed account and CAC (Common Access Card) are a plus
- Work experience in the Navy and specifically within Team Submarine or submarines in general
- Experience with the Defense Travel System (DTS)
- Experience managing Visit Access Requests (VAR) using the Defense Information System for Security (DISS)
- Experience managing SAAR/account requests in Enterprise Data Warehouse (EDW) for Flankspeed, NMCI, NNPI, and SIPR accounts
- Desired knowledge of DoD policies, NAVSEASYSCOM/Team Submarine policies and procedures
- Experience leading a project and interfacing with an end item customer
- Knowledge of Program Management, including the acquisition process, the budgeting process and Navy program execution
- Active-Duty Experience in the submarine or yeoman service preferred
- Recent experience in Team Submarine would be ideal
- Experience in supporting Navy or DoD-related programs are a plus
- Familiarity with government contracting processes
- Knowledge of document management systems.
