Job Category Staff & Executive - Administrative & Support Overview New Jersey's academic health center, Rutgers Biomedical and Health Sciences (RBHS) takes an integrated approach to educating students, providing clinical care, and conducting research, all with the goal of improving human health. Aligned with Rutgers University-New Brunswick and collaborating university wide, RBHS includes eight schools, a behavioral health network, and five centers and institutes that focus on cancer treatment and research, neuroscience, advanced biotechnology and medicine, environmental and occupational health, and health care policy and aging research. Posting Summary Rutgers, The State University of New Jersey, is seeking a Program Coordinator for the Office of Research at the Robert Wood Johnson Medical School. Under direction the Program Coordinator, plans, organizes, coordinates and guides day-to-day activities related to the operations of the RWJMS Office of Research. The primary purpose of the position is to provide support for a broad range of assigned projects, programs, initiatives, committees and task forces. Takes the lead on short- and long- term projects and serves as the primary liaison for all research administration of the Office of Research. Cultivates and maintains relationships with contacts both within and external to Rutgers. In conjunction with the Senior Associate Dean for Research, is responsible for the development and implementation of improvements to existing programs and initiatives, and assists with development of new programs and initiatives to support research. Among the key duties of this position are the following: Coordinates various research activities, programs, committees and task forces for faculty and students. This includes the Summer Research Program for medical students, the Distinction in Research Program and the Students Interested in Research (SIR) group. Coordinates the multi-phase development and improvement of a unified platform for medical student research in SmartSheet for implementation across RWJMS, NJMS and the future Rutgers School of Medicine for managing medical student research programs, matching mentees with mentors, fellowship competitions, and database tracking of milestones and outcomes etc. Coordinates meetings and program activities, including application, review and award processes. Handles payments of students' fellowship stipends, mentee-mentor match, lectures, symposia and other events, surveys, data management and reporting. Assists with preparation of grant proposals and funding opportunities to support research programs. Provides internal administration and consultative services to professional staff, program directors and faculty, with respect to planning, developing and carrying out proposals and objectives. Assists with development and implementation of new programs and activities. With the Senior Associate Dean for Research (SADR), develops and implements improvements to existing programs, initiatives, and relevant processes and systems, including those emanating from the research and education strategic roadmap and strategic plan. Implements short- and long- range organizational goals, objectives and operating procedures; monitors and evaluates program effectiveness; effects changes required for operational improvement. Provides executive level confidential administrative support to the SADR. Responsible for the development of a broad range of internal and external activities and initiatives. Functions as the principal liaison between the SADR and the faculty, staff, students, divisions of the Medical School and other administrative units of the University. Direct supervisor for the Research Office's Grants Coordinator, responsible for research support and research development, including communications.

Position Pension Eligibility:
ABP Minimum Education and Experience Bachelor's degree in Business Administration, Management, Social Sciences, or a related field required. Minimum of four (4) years of relevant professional administrative experience, preferably in an academic, healthcare, or similarly complex environment required. Equivalent experience, education and/or training may be substituted for the education requirements. Required Knowledge, Skills, and Abilities Demonstrated strong interpersonal, organizational, and communication skills required. Proficiency in Microsoft Office applications (Word, PowerPoint, and Excel, including use of formulas and pivot tables) and Adobe Acrobat required. Proven ability to manage multiple projects simultaneously, prioritize effectively, and adapt to changing priorities and new initiatives. Preferred Qualifications Supervisory and/or management responsibilities preferred. Proficiency with project management and workflow tools (e.g., Smartsheet or similar platforms) strongly preferred, with the ability to quickly learn new technologies. Experience with survey tools (e.g., Qualtrics or similar), electronic signature platforms (e.g., DocuSign), and website or database management is preferred.
