The Program Support Specialist plays a vital role ensuring professional communication both in-person and over the phone, determining HHOVV Program qualifications and providing outside referrals when needed. This position is ideal for someone who thrives in a fast paced, people-centered environment who values teamwork, and enjoys building relationships with seniors, volunteers, and program personnel. As the first point of contact for Helping Hands of Vegas Valley, you will help to create a warm, supportive, and dignified experience for senior clients and their families, whether when calling into, or stopping by the HHOVV office, to inquire about the services HHOVV provides or to obtain information on referral services outside of
HHOVV. WHAT YOU'LL DO!
Be the First Contact for
HHOVV:
Serve as the primary contact for senior clients, families and vendors both in-person and over the phone, ensuring each "touch" feels respectful, friendly, and informative. Answer questions, give outside referral information, and help with applications such as SNAP and Community Health Initiative services. Provide support to other HHOVV Program personnel when needed, to include the volunteer program, the HHOVV Development department and outside vendor partners on occasion. Professionally welcome all seniors, families, volunteers and vendor partners when in office. Professionally answer all incoming phone calls, providing answers to questions and giving outside referral resources if needed. Accurately maintain a call log and keep notes within database's and the HHOVV waitlist and be able to direct callers to the proper program personnel. Ability to handle a high volume of calls while working with people in crises, both in person and over the phone, professionally and with compassion.
Teamwork & Collaboration:
Partner with HHOVV Program personnel, providing support when needed. Communicate proactively with the Senior Manager - CHI and the Executive Team, sharing both wins and challenges within HHOVV and its Programs. Participate in Case Manager meetings to collaborate and stay informed about all HHOVV programs.
Documentation & Reporting:
Maintain accurate call logs, referral logs, notes within several databases, and units of service for grant and program reporting. Submit timely reports to the Senior Manager - CHI regarding the Community Health Initiative Program. Assist with surveys and follow-up efforts to ensure client satisfaction and continuous improvement.
WHAT WE'RE LOOKING FOR!
Skills & Strengths:
Strong interpersonal and communication skills with a compassionate, client-centered approach. Ability to work independently while contributing to a collaborative team environment. Excellent organization, attention to detail, and follow-through. Comfort working in a dynamic, community-based setting with seniors, volunteers, and partners. Proficiency with Microsoft Office and database systems.
Education and Experience:
Minimum 2 years of college in a Social Services Program or equivalent experience working within a Community Service Organization required. Minimum of 3 years working with seniors or in a non-profit, community-based setting preferred. Experience working within a call center a plus. Current Nevada Community Health Worker Certification preferred or willingness to obtain within 6 months of hire. High school diploma or equivalent required. Knowledge of Southern Nevada community resources for older adults is preferred. Bilingual skills (English/Spanish/Tagalog) are a plus.
Physical & Travel Requirements:
Ability to stand, sit for extended periods of time, walk, lift up to 50 lbs., and use standard office equipment. Reliable transportation and valid auto insurance. Ability and agreement to use personal vehicle to travel to outside events, representing HHOVV if needed. •HHOVV pays the current IRS mileage reimbursement rate for Business.
Employment Requirements:
Authorization to work in the U.s and ability to provide 2 forms of ID. Valid Nevada driver's license and auto insurance. Ability to pass a state and federal background check. Ability to pass a hair and urine drug test, to include marijuana and THC products. Willingness to obtain CPR/First Aid and related certifications if not current.
