Based on experience About Us Helpin Hands LLC is a growing provider of Adult Day Support, Homemaker/Personal Care, and Non-Medical Transportation services. We are seeking a dependable, organized, and motivated Program Coordinator to support our daily operations and ensure high-quality services for our participants. This position is ideal for someone who enjoys a fast-paced environment, has strong organizational skills, and can effectively balance administrative responsibilities with participant support. Position Summary The Program Coordinator is responsible for staff scheduling, documentation review, appointment coordination, timekeeping audits, and general operational support. This role serves as a key link between management, staff, participants, families, and community partners to ensure services are delivered efficiently and in compliance with agency requirements. The position also requires occasional transportation of participants to medical appointments using company vehicles. Responsibilities Create and maintain employee schedules. Coordinate staffing coverage for call-offs and schedule changes. Review employee documentation for accuracy, completeness, and compliance. Audit staff clock-ins and clock-outs to ensure accurate timekeeping and billing records. Follow up with employees regarding missing documentation, missed punches, and scheduling concerns. Schedule and coordinate participant medical appointments. Maintain appointment calendars and communicate appointment details to staff, families, and guardians. Transport participants to medical appointments using company-owned vehicles when assigned. Assist with participant and employee record management. Respond to emails, phone calls, and administrative inquiries. Support management with quality assurance, compliance monitoring, and daily operations. Perform additional duties as assigned to support agency operations. Qualifications High school diploma or GED required. Valid driver's license and acceptable driving record required. Ability to pass all required background checks. Strong computer skills and ability to learn scheduling and documentation software. Excellent organizational, communication, and multitasking abilities. Ability to work independently and make sound decisions. Professional demeanor and strong attention to detail. Preferred Qualifications Experience in healthcare, home care, developmental disabilities services, transportation, or human services. Previous scheduling, administrative, office management, or coordinator experience. Experience reviewing documentation, timesheets, or compliance records.
