The Body Controls Software Applications team is responsible for delivering vehicle-level features and functions that our customers desire. The Program Coordinator will be responsible for managing the global engineering projects and supporting the leadership team in administrative tasks, enabling Ford Motor Company to create must-have products and services. You'll have... Bachelors Degree or equivalent combination of relevant education and experience. 2+ years of Business Office or equivalent experience 2+ years of administrative procedures, software applications (such as Microsoft Office Word, Excel, PowerPoint, etc.) records management systems, and other business procedures and terminology 2+ years of experience experience using Microsoft Office, SharePoint, and Jira Even better, you may have... 3+ years' experience as an executive assistant supporting senior leader(s) Displays high degree of professionalism in order to maintain confidential information, deal with people considerately, and help establish strong relationships and positive communication Excellent organizational skills, time management skills and attention to detail, to include anticipating needs and being proactive Excellent writing, editing, and proofreading skills Ability to work collegially within a team environment in an open concept office area. This position is salary grades 6-8 and ranges from $74,300-$166,200., Final determination of salary grade will be based on candidate's skills and experience, and base salary will be set within the applicable range according to job scope, responsibility and competitive market value. Collaborate with engineering and key business partners to identify, improve and document processes that affect Body Controls. Provide expertise on required departmental processes, procedures, and policies. Participate as an adjunct member of the Body Controls Managers' leadership team, including attending select meetings, taking notes, tracking assignments, and following up on assigned action items. Lead operational aspects of the Body Controls organization, including but not limited to: Communication Cross-functional cadence and agenda management SharePoint and Confluence design and administration OT forecasts, approval, and tracking actuals Travel budget forecasts and tracking actuals Coordinating and executing records retention annual file review (AFR) and DRIM requirements Mapping and communicating upcoming organizational deliverables and deadlines Track upcoming Program Milestones that Body Controls must deliver to, and support the team to ensure team alignment and preparedness going into official milestone reviews Act as Vehicle Coordinator for department test vehicle fleet, responsible for maintaining vehicle budget, fleet maintenance and repairs, department drive authorization letters Maintain key operational documentation, including organizational charts, rosters, department vacation calendars, department records inventory matrix (DRIM), etc. Coordinate travel arrangements (transportation, accommodations, agenda) based on the Body Controls Managers' travel needs and preferences. Manage sophisticated itineraries and updates. Complete related expense reports. Manage Body Controls Managers' daily schedule/calendar, meeting notices and agendas. Resolve scheduling conflicts in a timely manner and issue new meeting notices, often involving global personnel/locations Coordinate team meetings and events such as team/staff meetings, all-hands meetings, off-sites, team gatherings, etc. Identify the preferred method of support for the Body Controls Managers and team members, appropriately accommodating their working style. Partner with the team members to help them be efficient and effective with their time, maintaining strong and consistent communications. Assist with special projects as needed
