This is a hands-on support role for someone who is detail-oriented, proactive, responsive, and comfortable helping keep a fast-moving programming process organized. The Coordinator will support speaker tracking, outreach follow-ups, document updates, scheduling, internal coordination, and preparation for a high-profile festival program bringing together leaders across media, entertainment, sports, brands, technology, and culture. Role Type, Schedule, and Location This is a part-time contract role at $45/hour, with an expected schedule of two days per week, 6 hours per day. The role is remote, with Miami/Fort Lauderdale-based candidates preferred for occasional in-person meetings and event preparation. Availability to support onsite during the festival from October 6 to October 9 is preferred. Key Responsibilities Support speaker outreach, follow-ups, scheduling, and communications. Maintain programming trackers, speaker lists, session details, bios, headshots, contact information, and related materials. Assist with speaker research across media, entertainment, sports, brands, technology, creators, platforms, and related industries. Help draft and organize outreach materials, confirmation emails, briefing documents, session materials, and prep notes. Support agenda updates, including session titles, descriptions, speaker placements, timing, formats, and program grids. Coordinate with internal teams across content, marketing, partnerships, operations, production, and leadership to keep programming information accurate and current. Help manage deadlines for speaker assets, session details, approvals, travel needs, presentation materials, and other required information. Capture meeting notes and turn them into clear action items, follow-ups, and tracker updates. Support onsite preparation and execution during the festival as needed, including speaker check-in, green room support, session materials, and live updates. Desired Qualifications 2 to 3 years of experience in events, conferences, media, entertainment, marketing, communications, talent coordination, speaker management, or a related field. Strong organizational skills and comfort managing detailed trackers, timelines, documents, and follow-ups. Strong written communication skills, especially for clear emails, speaker materials, session copy, and internal updates. Comfortable communicating with senior executives, high-profile speakers, talent representatives, assistants, partners, vendors, and internal stakeholders in a polished, professional manner. Ability to manage multiple priorities while staying detail-oriented, calm, and responsive. Experience with Google Workspace, Microsoft Office, Excel or Google Sheets, Outlook, Teams, and project management tools. Interest in media, entertainment, sports, technology, brands, creators, AI, platforms, and the future of content. Professional, discreet, reliable, and comfortable working in a fast-moving environment.
