Job Description

Wilson Sonsini is looking for a Facilities Program Lead to join our firm. The Facilities Project Lead will oversee various programs including safety, sustainability and operational programs, which the Real Estate & Workplace Services (REWS) department leads globally. This position requires a highly flexible individual with excellent critical thinking skills who can manage multiple responsibilities. This position would report to the Director of Facilities Operations. This position is available as a hybrid work schedule. Essential Job Responsibilities Manage coordination between the Real Estate & Workplace Services (REWS) department, Office Administrators and other internal stakeholder groups in their areas of responsibility Maintain, improve and update existing documentation for internal programs, including emergency procedures, safety documentation, facilities operations, and sustainability Work in conjunction with other team members and consultants to support ongoing sustainability related activities and programs Provide training to various internal teams related to the programs they oversee- including evacuation team training Assist in evaluating operational risks and support existing programs and procedures around risk management Draft internal communications related to REWS programs for a wide range of audiences Create presentations for a variety of audiences- from staff to senior management Document procedures and create reports Role responsibilities for new projects/programs: Work with internal stakeholders to identify existing conditions and determine, define and gather requirements Collaborate to evaluate and analyze current work-flow processes to determine feasibility of program implementation Work with impacted teams to review proposed changes Lead implementation and change management, including: Creation of project plans and related project management documentation Collaborate on support and training documentation Lead the development of communications for the project Experience and Requirements High school diploma required; bachelor's degree preferred 2+ years' project management experience 5+ years' experience in facilities, property management, or office operations/ administration Previous experience in evaluating operational risks. This can include experience in a Human Resources, Office Administration, or Facilities Management capacity Previous experience providing training or instructions in group settings Previous experience with sustainability related certifications (e.g. LEED) or disclosures (e.g. CDP, EcoVadis, SBTi) preferred Interact with employees, outsourced personnel and vendors with poise and diplomacy Demonstrate strong initiative and customer service orientation Set priorities and meet deadlines Competency with a variety of software including MS Word, MS Excel, MS Outlook, MS PowerPoint. Must be comfortable operating a PC Communicate effectively and professionally in both verbal and written formats Possess excellent grammatical and proofreading abilities Highly organized Ability to maintain a calm demeanor in emergency situations Demonstrate a strong attention to detail Communicate essential information needed for decision making Analytical/ Decision Making Responsibilities Analytical ability to manage multiple projects and prioritize tasks into manageable work products Is a team player that can collaborate effectively with a diverse group of people Can operate independently or with minimal supervision The primary location for this job posting is in Palo Alto. The actual base pay offered will depend upon a variety of factors, including but not limited to the selected candidate's qualifications, years of relevant experience, level of education, professional certifications and licenses, and work location. The anticipated pay range for this position is as follows: $116,875 - $158,125 per year. The compensation for this position may include a discretionary year-end merit bonus based on performance.
