Job Description

Under the guidance and direction of the Director of IPE, the Program Coordinator supports the coordination and implementation of Interprofessional Education (IPE) learning experiences, activities, and related programming. This role collaborates closely with the Lebanon campus Course Co-Director and other members of the IPE support team to assist in the development, scheduling, implementation, and monitoring of IPE learning experiences and activities. The Program Coordinator helps ensure smooth delivery of IPE sessions by managing logistics, maintaining communication with stakeholders, and supporting day-to-day program operations across campus locations. While based in Oregon, this role has significant in-person responsibilities and requires regular on-site presence at any/all WesternU campus buildings in Lebanon, OR. During the IPE academic semesters, the position will be approximately 60% in-person and 40% remote, with the in-person work focused on directly supporting students, faculty, and staff with related IPE activities. Outside of the academic semesters, the role is expected to shift to a 50/50 split between in-person and remote work, though in-person engagement will remain an essential component throughout the year.
Knowledge, Skills and Abilities Knowledge, Skills, and Abilities:
Proficient computer skills, including Microsoft Office Suite (Word, Excel, PowerPoint), video conferencing tools (e.g., Zoom), and learning management systems (e.g., Canvas or similar). Ability and willingness to learn new digital platforms and software tools quickly. Strong verbal and written communication skills. Ability to work collaboratively and maintain positive, professional relationships with faculty, staff, students, and other stakeholders. Demonstrated ability to follow through on assigned tasks, meet deadlines, and adapt to changing priorities. Capable of performing on-campus duties, including walking between locations and supporting in-person activities. Commitment to working for an organization that values and promotes humanism.
Required Qualifications Education:
High School Diploma or equivalent
Experience or Training:
Prior experience in an academic, healthcare, or educational setting preferred. Experience in customer service, administrative support, or data entry/management is desirable. Familiarity with coordination of events, programs, or logistics is a plus Preferred Qualifications Preference will be given to individuals with Bachelor's degree, preferably in education, healthcare, communication, or a related field.
Essential Job Duties Key Responsibilities Coordination and Support of IPE Learning Experiences and Activities:
Assists with the scheduling, preparation, coordination, and delivery of IPE learning experiences and activities across participating colleges, programs, and campuses. Coordinates with participating colleges, programs, faculty representatives, and other stakeholders under the guidance of the Director of IPE. Consults with the Director before making substantive commitments or implementing changes that may affect IPE programming.
Key Responsibilities Stakeholder Communication and Front-Line Support:
Works in conjunction with the Lead Program Coordinator as a point of contact for IPE-related operational matters and maintains regular communication with the Director of IPE regarding stakeholder needs, planned activities, scheduling, and issues requiring programmatic direction. Key Responsibilities Learning Management System ( LMS ) and
IPE Content Support:
Assists with uploading and updating IPE learning materials, assessments, surveys, and rubrics in applicable learning management and program systems and supports tracking of student participation and activity completion.
Key Responsibilities IPE Data, Participation, and Assessment Tracking:
Supports the collection, tracking, organization, and maintenance of participation, assessment, program, and other data related to IPE activities, including documentation for program evaluation, accreditation, and institutional reporting as assigned.
Key Responsibilities Meeting and Program Participation:
Attends IPE team meetings and supports IPE program and learning experience planning discussions. May take notes, prepare materials, or contribute feedback based on student and facilitator needs.
Key Responsibilities Administrative and Logistical Support:
Assists with room scheduling, supply preparation, and on-site coordination for IPE activities held on or off campus. Key Responsibilities Support to CETL Units and other duties as assigned: Provides occasional support to other CETL units, such as Instructional Design, Learning and Development, or Educational Technology, as assigned. The noise level in this setting is usually moderate with access to stable internet for virtual meetings and assigned administrative tasks. During the IPE academic semesters, the position will be approximately 60% in-person and 40% remote, with the in-person work focused on directly supporting students, faculty, and staff with related IPE activities. Please note that there is currently no dedicated IPE office space. However, the campus offers a variety of open areas—such as tables, desks, and other work-friendly environments—where computer-based tasks can be completed. The individual in this role should be flexible and comfortable utilizing these non-assigned spaces and commuting between campuses as needed.
