The mission of the Institute of Bill of Rights Law (IBRL) is to contribute to the ongoing national dialogue about issues relating to the U.S. Constitution and our Bill of Rights. The program coordinator will serve as the point of contact for the Supreme Court Preview, a nationally-recognized annual conference of federal judges, journalists who cover the Court, members of the Supreme Court bar, and Constitutional Law scholars. In addition to the Preview, the coordinator would support other IBRL programs and events including:- Developing the Citizen Lawyers in Action program, including organizing an annual award ceremony and lecture.
- Supporting the functions of the Institute of Bill of Rights Law Student Division.
- Assisting the Institute Director in creating and administering new events by corresponding with guest speakers / interacting with law student volunteers.
- Acting as a liaison for all event participants to manage all travel/transportation, lodging, parking, registration, reimbursements, and Continuing Legal Education (CLE) credit requirements.
- Other duties as assigned.

Required Qualifications:
High school graduate or equivalent. Experience in a busy, professional office environment. Demonstrates outstanding organizational, administrative, and customer service skills. Demonstrates strong communication (oral and written) and interpersonal skills for developing effective working relationships with a variety of internal and external constituents and VIPs. Basic graphic design experience, using Canva or similar software. Knowledge of basic office technology (phone, copier, fax, scanning, etc.).Preferred Qualifications:
Some post high school education such as an associate degree or administrative certifications. Proficiency with Microsoft Office Suite (particularly Excel and Outlook). Basic knowledge of event design and event flow, familiarity with the event planning process, and some experience with planning and coordinating events. Experience with booking travel and lodging. Experience with maintaining a budget.Conditions of Employment:
This position offers a flexible work schedule with some remote work opportunities (not full-time). An occasional evening or weekend may be required. The slowest period is December and January. The busiest period is August through the first weekend in October. This is a non-exempt position, eligible to receive overtime in accordance with the Fair Labor Standards Act. This position may be subject to overtime during high peak times, etc. as directed and approved by the supervisor. All hourly employees are subject to the limitations of the Virginia Manpower Control Program and total hours worked may not exceed, on average, 29 hours per week, over the course of a twelve month period beginning May 1 each year.Job Duties:
75%- Point of Contact for
IBRL Events:
Point of contact for registration, lodging, transportation, parking, catering, Continuing Legal Education (CLE) credits, etc. In conjunction with the Law Events team, support all IBRL events on-site. Coordinates with Law School Administration and Parking Services to ensure all visitor parking needs are met. Completes all Continuing Legal Education (CLE) applications as needed. Keeps accurate records for all events and participants. Coordinates with Law School and University communications staff to address all advertising and marketing needs including coordinating the design, production and distribution of publicity. Manages the event budget according to State, University, and Law School rules/regulations; coordinates disbursement of funds to vendors and coordinates reimbursements for allowed event expenses. Must maintain familiarity with State, University, and Law School travel, housing, and meal expense policies. 25%•Office Administration:
Assists with organizing and implementing programs and workshops. Works with Information Technology and the Law Room Technologist to troubleshoot issues. Oversees office operations such as word processing, data entry, communications, filing, photocopying, scanning, calendar management, supply orders, and general office tasks Oversees IBRL website updates to reflect current events and Digital Notebook for the Supreme Court Preview.
