The Program Coordinator oversees departmental educational operations, including clinical fellowship programs, MS and PhD programs, and internal and external educational meetings for directors, faculty, and students within ICT. The Program Coordinator position is integral to sustaining and growing these programs at UT MD Anderson. The ideal candidate for the Program Coordinator role brings experience supporting academic or medical education programs, demonstrates strong organizational and interpersonal skills, and is comfortable coordinating across faculty, leadership, trainees, and external partners. This individual is detail-oriented, adaptable, and capable of managing multiple priorities while maintaining compliance with institutional and accrediting requirements.   • Job Specific Competencies:
  • Academic Program Coordination
  • Direct operations of ICT educational programs, including fellowship programs and MS and PhD programs
  • Collaborate with ICT leadership to strategically grow fellowship programs, ICT Grand Rounds, and core curriculum lectures
  • Partner with fellowship and site directors, faculty, and supervisors to develop and maintain curricula, schedules, manuals, and educational materials
  • Serve as liaison for SLATE and New Innovations application processes for fellows, students, interns, observers, visiting scientists, and trainees
  • Facilitate trainee opportunities, manage rotating students and visitors, and coordinate research trainee appointments
  • Conduct formal orientation for all trainees, including system access, computer setup, and intranet permissions
  • Receive, approve, organize, and schedule clinical tours and observational rotations
  • Ensure compliance with departmental, institutional, and accrediting guidelines
  • Act as departmental point of contact for education-related inquiries and prospective students
  • Administrative Coordination
  • Manage administrative programs and initiatives through planning, organizing, and implementation
  • Communicate effectively with faculty, staff, committees, and external partners
  • Set up fiscal year schedules, evaluations, duty hours reporting, and demographic tracking
  • Manage and create contractual agreements with outside institutions
  • Maintain ACGME certification for the ICT Fellowship Program
  • Coordinate speakers, meeting logistics, catering, sponsorship hosting, and attendance registration
  • Create and maintain trainee handbooks and program documentation
  • Manage program expenses, fellow travel, and compliance with institutional policies
  • Complete the Annual Program Evaluation and provide progress reports
  • Reporting, Data, and Department Operations
  • Maintain departmental academic databases for clinical and basic science research and publications
  • Gather and manage documentation related to courses, faculty, and student data
  • Prepare annual progress reports for the NIH K30 grant and ensure adherence to grant requirements
  • Track and ensure timely submission of required reports and institutional forms
  • Maintain internal and external ICT websites
  • Provide in-service training on institutional systems, faculty profiles, PubMed, NIH biosketches, and compliance reviews Liaison, Records, and Project Coordination
  • Serve as liaison with Academic and Visa Affairs, Clinical Education, Faculty and Academic Affairs, Visa and Immigration Services, and Continuing Medical Education
  • Oversee education program agreements within Total Contact Manager
  • Maintain documentation for all educational appointments to meet accrediting and institutional requirements
  • Maintain complete records for past, current, and future fellows and trainees for verification requests
  • Serve as Department Registrar for OneConnect training for new employees and trainees
  • Other Duties as Assigned.
  • The performance for all expected outcomes is measured by observation by supervisor, reports from physicians and co-workers, the accuracy and timeliness of work produced, and the demonstrated ability to effectively work under stress.
The position also requires one to anticipate needs, to recognize situations requiring assistance and have the ability to refer or perform any necessary tasks, and to comprehend the goals of the program and take the initiative in making decisions and taking actions to further these goals.
  • The above functions require the following abilities and skills:
  • Strong interpersonal and organizational skills.
  • Ability to work with personal computers using standard word processing software, spreadsheets, and programs for database and graphics usage.
  • Ability to maintain a satisfactory work environment by organizing and redistributing files, records, etc., requiring bending, stooping, reaching, manual handling, walking, visually inspecting, extended standing, sitting and repetitive motions. May be required to lift up to 15 pounds.
  • Use of computer via keyboard, and operation of facsimile machine, calculator, printer, photocopy machine, etc.
Requires the use of push-button, multiple line telephone set. Must be able to master new software (such as
DISCOVER
TRACS, CORe, and New Innovations) by utilizing available resources (other program personnel, reference manual, training classes, etc.)
  • Ability to be clearly understood by verbal communication in face-to-face encounters and by telephone.
  • Strong command of the English language, including spelling, writing, and verbalizing and ability to communicate well verbally and in writing
  • EDUCATION
Required:
Bachelor's Degree Business Administration or related field.
Preferred:
Master's Degree Business Administration or related field.
  • EXPERIENCE
Required:
Three years project/program coordination experience. With Master's degree, one year required experience. May substitute required education degree with additional years of equivalent experience on a one to one basis.
Preferred:
Experience coordinating academic or medical education programs within an academic medical center, including fellowship or graduate-level training programs, accreditation or compliance activities, trainee onboarding, and collaboration with faculty and institutional stakeholders.
