  • Part-time Job Overview The Program Manager provides leadership, coordination, and oversight for Helping Hands Wellness Center's clinical and wellness programs.
This role ensures programs operate efficiently, meet community needs, and align with the organization's mission and strategic priorities. Blending strategic program management with day-to-day coordination, the Program Manager works closely with staff, volunteers, and community partners to deliver high-quality services to uninsured and underserved populations across Kalamazoo County. This position requires strong organizational skills, sound judgment, cultural humility, and the ability to manage both operations and program development. Core Responsibilities Program Operations & Coordination Oversee and coordinate day-to-day operations of clinic sessions, health classes, wellness programs, and special initiatives. Manage scheduling for staff, volunteers, space, and materials. Maintain accurate program calendars, patient rosters, and workflows. Ensure smooth delivery of medical, emotional health, and nutrition services. Maintain organized records in compliance with clinic policies, HIPAA, and confidentiality standards. Identify operational gaps and implement process improvements to enhance efficiency and patient experience. Data, Reporting & Outcomes Track and monitor key program metrics, including: Patients served Services provided Referral patterns Attendance rates Community impact indicators Develop reports, dashboards, and summaries for leadership, board members, and funders. Support grant reporting, compliance, and documentation. Evaluate program effectiveness and recommend improvements based on data. Program Development & Strategy Contribute to annual program planning, goals, and strategic initiatives. Identify emerging community health needs among uninsured populations. Support development of new programs and improvements to existing services. Recommend strategies for program sustainability, scalability, and impact. Budget Support & Resource Stewardship Assist with program budget tracking and expense monitoring. Identify supply needs and cost efficiencies. Support responsible resource use to ensure long-term sustainability. Help identify partnership, funding, and in-kind donation opportunities. Volunteer & Partner Coordination Coordinate volunteers supporting program delivery (scheduling, communication, basic onboarding). Serve as a liaison with community partners for outreach, screenings, and health education initiatives. Coordinate logistics for events, including setup, materials, and communication. Community Engagement & Representation Represent Helping Hands Wellness Center at community meetings, outreach events, and partner sites. Build and maintain relationships with community organizations and stakeholders. Communicate professionally with patients, staff, volunteers, and partners. Demonstrate cultural humility and a commitment to equitable service delivery. Uphold organizational values of dignity, respect, neutrality, and inclusivity. Leadership & Continuous Improvement Provide day-to-day guidance to volunteers and program staff (if applicable). Identify program challenges and implement solutions. Develop and refine policies, workflows, and program tools. Prepare regular updates and recommendations for the Executive Director. Required Qualifications Demonstrated commitment to serving uninsured and underserved populations. Experience in program coordination, nonprofit operations, healthcare, or social services. Strong organizational, time-management, and problem-solving skills. Ability to manage multiple priorities and meet deadlines. Proficiency with spreadsheets, scheduling tools, and data tracking systems. Strong written and verbal communication skills. Ability to work independently while maintaining alignment with leadership. Professional demeanor and ability to handle confidential information with discretion. Preferred Qualifications Experience in a healthcare or free clinic setting. Supervisory or team leadership experience. Familiarity with public health or community health principles. Experience with grant reporting and outcome measurement. Bilingual skills (Spanish or other languages relevant to the community). Bachelor's degree preferred; equivalent experience considered. Compensation & Schedule Hourly position , $22
  • 30 per hour, depending on experience and scope. 24-30 hours a week, flexible scheduling within operational needs; some evenings or weekends may be required. Hybrid work options available depending on responsibilities
