DESCRIPTION
This position provides full-time support to the School of Academic Foundations through assistance with divisional program scheduling; documenting and tracking of critical student data, assessments, and tests that are required for high school completion and governmental reporting; and assisting with student orientation/ retention/completion functions to improve student retention and graduation for students in various academic foundations and high school completion programs. The position works closely with the Administrative Services Manager to complete essential Division documentation and tracking, and to provide front desk supervision and coverage. Representative job functions include prioritizing office operations, tracking student progress and program completion, supervising part-time classroom support technicians, organizing and coordinating meetings, updating student records, creating reports, assisting students, and developing processes to improve program efficiency. This position reports to the Administrative Services Manager, School of Academic Foundations. Applications received by October 7th, 2026, at 11:59 PST will receive priority consideration. Responsibilities include, but are not limited to: Maintain, monitor, and update critical student records, attendance, and progress tracking using ctcLink and Google Applications. Run routine compliance reports, monitor transcripts, and perform enrollment and test verifications. Supervising front desk staff who serve as first point-of-contact for School of Academic Foundations students
Supervising Instruction & Classroom Support Technicians; scheduling and related administrative processes.
Serving as an Instructional Technician in designated classes as needed and provide one-on-one academic assistance to students
Participating in the annual schedule development process; creating documents and spreadsheets related to annual and quarterly schedules Collaborate with Edmonds School District to train, schedule, and administer state graduation testing on Edmonds College campus
Cross train with other coordinators within the School of Academic Foundations to fill in, when needed.
REQUIRED QUALIFICATIONS
Associate's Degree, OR a high school diploma and experience sufficient to successfully perform essential job functions.
Minimum of one (1) year of experience supervising staff, leading project teams, or managing student workers.
Two years of administrative/office support experience with proficient use of technology, knowledge of office operations, and successful customer service interaction.
High level organizational skills: able to effectively manage multiple priorities, problem solve and plan ahead. Demonstrated ability to use Microsoft Office especially, Word and Excel and Google Office including Google Mail and Drive.
Strong verbal and written communication skills.
Ability to work effectively with culturally, ethnically and economically diverse populations, including students with lower academic attainment levels.
Ability to maintain confidentiality, interpret regulations and streamline processes.
Ability to cultivate and maintain professional and collaborative working relationships in a team-oriented environment
DESIRED QUALIFICATIONS
Bachelor's Degree
Experience thriving in a fast-paced office environment
Strong database experience Multilingual/Bilingual, preferably in a regionally top spoken language in addition to English (Spanish, Ukrainian, Russian, Arabic, Pashto)
PHYSICAL WORK ENVIRONMENT
Work is typically performed in an office setting, and onsite/in-person. The ability to sit at a desk/computer station, bend, stoop, walk and generally move around the office to consult with others, work within a busy environment and remain focused on tasks. Inventory management requires some lifting and moving of objects up to 30lbs. Excellent communication skills are essential. This includes the ability to speak clearly and fully comprehend written and spoken English and will include communication with people for whom English is not their first language. This also includes the ability to produce clearly written documents. Those who are multilingual are strongly encouraged to apply.
WORK SCHEDULE
40 hours per week, Monday
•Friday, 8:00 am
•5:00 pm.
COMPENSATION
Salary range 42. Beginning salary is $54,204
•$56,952 annually, with periodic increments to $61,332 annually plus a full state benefits package, which includes tuition waivers for college classes, medical, dental, retirement options and more. Vacation and leave package includes 12 sick days per year, 11 scheduled holidays, 1 personal holiday, 3 personal leave days, and 14 vacation days per year (incremental increases to 24 vacation days per year).
CONDITIONS OF EMPLOYMENT
You must document your citizenship or employment authorization within three days of hire.
