Job Description

Position Overview The Helpful Harvest Manager is responsible for overseeing the day-to-day operations of the Helpful Harvest Food Program. This role ensures efficient inventory management, strategic procurement, and timely food distribution to partner pantries. The Manager will also maintain accurate records, manage communications, and support volunteer coordination and committee participation. This position is integral to advancing United Way of Monongalia and Preston Counties' mission to address food insecurity through collaborative community partnerships. Responsibilities and Duties Inventory, Warehouse, and Distribution Operations
  • Maintain a clean, safe, and organized warehouse environment
  • Receive, unload, rotate stock, and inventory incoming items
  • Drive large box truck to transport items from vendors or donation sites to the warehouse
  • Utilize equipment such as forklifts and pallet jacks to unload and organize inventory
  • Maintain accurate inventory records and conduct regular audits
  • Update inventory systems with all incoming and outgoing items
  • Coordinate food distribution logistics, including scheduling pick-ups and deliveries by appointment
  • Serve as the primary point of contact for participating food pantries
  • Communicate inventory availability and program updates to pantry partners Procurement and Financial Recordkeeping
  • Assist with food purchases based on inventory needs and pantry requests
  • Maintain vendor relationships and support cost effective sourcing efforts
  • Organize and coordinate the pick-up or delivery of donated items
  • Track purchases, receipts, and financial documentation for reporting purposes
  • Maintain detailed records of inventory, program activity, and financial transactions
  • Provide program data and impact statistics to support grant applications and reporting requirements Program Operations and Reporting
  • Submit monthly consent agenda reports and operational updates to the Director of Operations
  • Collect and analyze pantry data, including distribution metrics and volunteer hours
  • Prepare reports and maintain documentation for internal stakeholders
  • Attend monthly occupancy meetings regarding space utilization and operational needs
  • Participate in special events including food drives and the Holiday Toy and Food Program Partner Engagement and Communication
  • Serve as liaison to food pantries, community partners, and collaborating organizations
  • Manage CRM systems to track communications, appointments, and pantry information
  • Create and distribute the monthly Helpful Harvest Newsletter
  • Provide regular updates regarding inventory, program operations, and community needs
  • Coordinate special initiatives in partnership with the Family Resource Network and organizations addressing food insecurity Volunteer Coordination and Organizational Support
  • Recruit, train, and supervise volunteers including in partnership with LifeBridge AmeriCorps members
  • Participate in Helpful Harvest Committee meetings and provide program reporting
  • Collaborate with the Community Impact Team and external partners to support program goals
  • Submit photos and program updates to the Marketing and Communications Specialist for promotional use
  • Represent the Helpful Harvest Food Program in community collaborations and outreach efforts Additional Duties
  • Participate in United Way events, initiatives, and community activities as needed
  • Perform other duties as assigned by the Director of Operations or United Way leadership
