Install Coordinator Key Responsibilities:
Coordinate HVAC installation projects from initiation to completion, ensuring all aspects of the process are well-organized and executed efficiently. Collaborate with the sales team to review project specifications, determine installation requirements, and establish project timelines. Assign HVAC installers to projects based on their availability, skills, and project requirements. Communicate project details, timelines, and expectations to installers, ensuring they have all the necessary information to complete their tasks. Monitor the progress of installations, providing regular updates to customers, project managers, and other stakeholders. Coordinate the delivery of equipment, materials, and supplies to job sites, ensuring they arrive on time and in the correct quantities. Collaborate with suppliers and vendors to obtain quotes, place orders, and track the delivery of HVAC equipment and materials. Assist in scheduling and coordinating any necessary subcontractors, such as electricians or plumbers, to ensure smooth project execution. Monitor project budgets, tracking expenses and ensuring costs remain within approved limits. Address any issues or concerns that arise during the installation process, working closely with installers and customers to find timely solutions. Conduct site visits as needed to assess project progress, verify installation quality, and address any on-site challenges. Maintain accurate and up-to-date project documentation, including contracts, change orders, permits, and other relevant paperwork. Coordinate with the service team to schedule necessary inspections and ensure compliance with local building codes and regulations. Assist in the preparation of project reports, providing insights on project status, timelines, and any potential issues. Continuously improve processes and procedures related to HVAC installations, identifying opportunities for increased efficiency and effectiveness. Stay up-to-date with industry trends, advancements, and best practices in HVAC installation coordination.
Install Coordinator Qualifications:
High school diploma or equivalent; additional education or training in project coordination or a related field is a plus. Proven experience in coordinating HVAC installations or similar project coordination roles. Strong organizational and multitasking skills, with the ability to manage multiple projects simultaneously and meet deadlines. Excellent communication and interpersonal skills, with the ability to effectively communicate with installers, customers, and other stakeholders. Knowledge of HVAC systems, equipment, and installation processes is preferred. Familiarity with local building codes and regulations related to HVAC installations. Proficiency in using project management software and tools for scheduling and documentation. Detail-oriented with a focus on accuracy and quality in project coordination. Strong problem-solving skills and the ability to think quickly and find solutions in fast-paced environments. Ability to work well in a team environment and collaborate with cross-functional teams. Strong computer skills, including proficiency in Microsoft Office Suite.
