Project Assistant Header Job Summary The Project Assistant plays a vital role in supporting project management teams across various initiatives by coordinating tasks, facilitating communication, and ensuring project activities align with organizational goals. This position involves assisting with project planning, documentation, and process improvement efforts, contributing to the successful delivery of projects within scope, schedule, and budget. The ideal candidate will possess strong organizational skills, technical proficiency in project management tools, and a keen eye for process optimization. Header Duties Assist in requirements gathering, scope management, and project planning to ensure clear objectives and deliverables. Support project scheduling and timeline development using tools such as Microsoft Project, Primavera P6, or Smartsheet. Facilitate meetings, prepare agendas, document minutes, and track action items to ensure effective stakeholder communication. Contribute to process mapping, business process modeling, and workflow documentation to streamline operations. Monitor project progress through data collection and analysis using Excel or SAS; report on key performance indicators. Support risk management activities by identifying potential issues and assisting with root cause analysis. Aid in change management initiatives and assist with program development and implementation. Collaborate across cross-functional teams to promote continuous improvement using methodologies like Lean, Six Sigma, Kaizen, or Waterfall. Manage vendor relationships and assist with contract administration as needed. Maintain comprehensive project documentation within SharePoint or Confluence for easy access and version control. Support program portfolio management activities including resource allocation and cost control measures. Header Skills Strong proficiency in project management software such as Jira, Trello, Basecamp, Microsoft Project, Primavera P6, or Smartsheet. Extensive knowledge of project management methodologies including PMBOK, Agile (SAFe), Waterfall, Kanban, and Scrum frameworks. Expertise in process improvement techniques such as Lean Six Sigma, Kaizen, and process mapping. Excellent organizational skills with the ability to manage multiple priorities simultaneously. Effective communication skills for stakeholder engagement and team collaboration. Experience with requirements analysis, scope management, risk mitigation strategies, and earned value management. Technical writing experience for creating detailed reports and documentation. Familiarity with IT infrastructure projects and vendor management processes is a plus. Ability to facilitate meetings effectively and negotiate solutions across diverse teams. Data analysis skills using Excel or SAS for reporting insights that inform decision-making.
