Job Description
Position Summary:
The Special Projects Coordinator will support company-wide projects, track key initiatives, coordinate cross-functional communication, assist with external professional service providers, and ensure important projects are progressing on schedule. This role requires strong organizational skills, attention to detail, follow-through, and the ability to manage multiple priorities simultaneously.
Key Responsibilities:
1. Project Tracking & Coordination Track company-wide special projects and initiatives. Maintain project timelines and status reports. Follow up with responsible departments to ensure deadlines are met. Escalate delays or issues when necessary. 2. Professional Services Coordination Coordinate communications with outside attorneys, consultants, insurance brokers, landlords, accountants, and other service providers. Track requests, deadlines, and required documentation. Organize project files and maintain records. 3. Document & Approval Support Prepare project summaries and supporting materials. Assist in organizing contracts, approvals, and supporting documents. Coordinate information gathering between departments. 4. Executive Support for Special Projects Assist CEO with high-priority business projects. Conduct basic research and gather information as requested. Prepare meeting notes, action item lists, and follow-up reports. 5. Process Improvement Assist in documenting company procedures and workflows. Help identify gaps and opportunities for operational improvements. Support implementation of new internal processes.
Qualifications:
Bachelor's degree preferred. Minimum 2 years of project coordination, operations, administration, legal support, or related experience. Strong organizational and communication skills. Excellent follow-through and attention to detail. Proficient in Microsoft Office (Excel, Word, Outlook). Ability to handle confidential information professionally. Bilingual English and Chinese preferred.

Pay:
$23.00 - $25.00 per hour
