Our company specializes in custom design, development, and prompt distribution of bespoke guest amenities and OS&E (Operating Supplies and Equipment) products. We are dedicated to elevating the guest experience through tailored solutions, exceptional customer service, and operational excellence. Position Summary The Product Development Project Coordinator plays a critical role in supporting the development and execution of hospitality amenity programs from concept through production. This position is responsible for coordinating projects, maintaining timelines, managing product samples, organizing documentation, and ensuring seamless communication between clients, suppliers, manufacturers, and internal teams. The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced environment where managing multiple projects simultaneously is the norm. Success in this role requires exceptional follow-through, strong communication skills, and a passion for keeping projects moving forward. This position serves as the operational backbone of the Product Development team, ensuring that no detail falls through the cracks and that projects remain on schedule from initial concept to final production. Key Responsibilities Project Management & Coordination Coordinate hospitality amenity development projects from concept through launch Create and maintain project timelines, milestone trackers, and development schedules Monitor project progress and proactively follow up on outstanding deliverables Track approvals, sample submissions, artwork revisions, testing results, and production milestones Schedule and coordinate meetings with clients, suppliers, manufacturers, and internal stakeholders Prepare project status updates and maintain project reporting tools Escalate project risks, delays, or bottlenecks to the Product Development Manager Ensure action items are completed on time and projects remain on schedule Support the management of multiple concurrent development programs across various clients and brands Sample Management & Logistics Manage all incoming and outgoing development samples Coordinate sample shipments to clients, manufacturers, laboratories, and internal teams Track sample requests, approvals, revisions, and final selections Maintain organized sample libraries for packaging, fragrances, formulations, and finished products Catalog and document approved samples for future reference and production validation Ensure sample inventory is organized, labeled, and easily accessible Maintain records of all sample activity and approval history Assist with trade show sample preparation and client presentation materials as needed Product Development Support Support the development of liquid personal care products including shampoos, conditioners, body washes, lotions, hand soaps, and related hospitality amenities Coordinate formula submissions, evaluations, testing requests, and approval workflows Track product development milestones and maintain approval records Assist with sourcing and evaluating new products, packaging components, and supplier capabilities Coordinate testing and validation activities with external laboratories and manufacturers Support product launch readiness and production handoff processes Packaging & Artwork Coordination Coordinate packaging development activities and component tracking Manage artwork review cycles, proof approvals, and revision requests Maintain packaging specifications, dielines, artwork files, and production documentation Track packaging approvals and production readiness milestones Ensure all approved artwork and packaging files are properly archived and accessible Support packaging testing, compatibility reviews, and production preparation Documentation & Data Management Maintain project folders, development files, and centralized documentation systems Organize and maintain bills of materials (BOMs), product specifications, supplier documentation, and approval records Manage version control for formulas, artwork, specifications, and packaging files Maintain organized libraries of approved products, packaging, fragrances, and vendor resources Collect and archive testing reports, regulatory documentation, and quality records Ensure all project information is accurate, current, and readily available Vendor & Supplier Coordination Serve as a day-to-day liaison with manufacturers, packaging suppliers, testing laboratories, fragrance houses, and other external partners Follow up on quotations, timelines, sample requests, testing results, and production schedules Track vendor deliverables and ensure deadlines are met Assist with supplier onboarding, qualification, and documentation management Support vendor communication and relationship management efforts Continuous Improvement & Team Support Identify opportunities to improve project tracking, organization, and workflow efficiency Assist in developing and maintaining standard operating procedures and best practices Support special projects and cross-functional initiatives as assigned Contribute to building scalable systems and processes that support company growth Qualifications & Skills Education • Bachelor's degree preferred in Business, Hospitality, Marketing, Supply Chain, Product Development, or a related field • Equivalent combination of education and relevant experience will be considered Experience 2-4 years of experience in project coordination, project management, account coordination, procurement, operations, product development support, or a related role Experience managing multiple projects and deadlines simultaneously Experience coordinating with external vendors and suppliers preferred Hospitality, manufacturing, packaging, beauty, personal care, consumer products, or related industry experience is a plus Skills Exceptional organizational and project management skills Strong attention to detail and ability to manage complex documentation Excellent written and verbal communication skills Ability to prioritize and manage multiple projects simultaneously Strong follow-through and accountability Proficiency in Microsoft Excel, Outlook, Word, PowerPoint, and project tracking tools Ability to work independently while collaborating effectively with cross-functional teams Resourceful, proactive, and solutions-oriented
