Job Description
Description We are looking for a detail-oriented Project Assistant to support construction-related projects in Mountain View, California. This Contract position will help keep schedules organized, documentation current, and project activity moving forward across multiple workstreams. The ideal candidate is comfortable coordinating timelines, maintaining records, and providing administrative support that strengthens overall project execution.
Responsibilities:
- Coordinate project schedules and track key milestones to help ensure construction activities stay on target.
- Maintain master planning documents and update timeline information as priorities, deadlines, and deliverables change.
- Support project managers with day-to-day administrative tasks, including organizing files, preparing documentation, and monitoring progress updates.
- Scan, file, and manage project records so materials are accurate, accessible, and properly archived.
- Assist with construction project coordination by following up on action items, compiling status information, and helping keep teams aligned.
- Prepare routine reports and project summaries that provide visibility into schedule performance and outstanding tasks.
- Communicate with internal stakeholders to gather updates, confirm deadlines, and escalate scheduling concerns when needed. Requirements
- Experience supporting projects in an administrative or coordination capacity, preferably within construction or a related environment.
- Working knowledge of schedule tracking, milestone coordination, and master scheduling practices.
- Ability to manage multiple priorities while maintaining strong attention to detail and organization.
- Proficiency with document handling, including scanning, electronic filing, and records maintenance.
- Clear written and verbal communication skills for coordinating with project teams and stakeholders.
- Familiarity with project management processes and the ability to support structured workflows.
- Comfortable using standard office and project tracking tools to maintain accurate schedules and documentation.
