Scheduling & Project Coordinator World Class Window Coverings / Window-Ology Pleasanton, CA Full-Time | In Person $26-$30 per hour, depending on experience Company Overview World Class Window Coverings is an established Bay Area window treatment company serving homeowners throughout Northern California. Since 2008, we have built our reputation around quality products, professional installation, and exceptional customer service. We provide custom window coverings, shades, shutters, blinds, exterior solar products, and awnings and work with leading manufacturers and major retail partners. We are growing and looking for a highly organized, dependable professional to become an important part of our Operations team. Job Overview We are seeking a highly organized, detail-oriented, and customer-focused Scheduling & Project Coordinator . This position plays a key role in coordinating customer appointments, supporting our designers and installers, maintaining accurate project information, tracking orders, and helping ensure projects move smoothly from the initial consultation through installation and completion. This is not simply a receptionist position. The right person will be comfortable managing multiple priorities, communicating with customers and team members, solving scheduling issues, and taking ownership of tasks from beginning to end. Key Responsibilities Answer incoming calls and provide professional, friendly customer service Greet showroom customers and assist with general inquiries, repairs, and service requests Monitor email inboxes for customer inquiries, appointment requests, and project updates Review, verify, and manage incoming leads from multiple sources Schedule and coordinate: Design consultations Installation appointments Final measures Assessments Repairs and warranty service Other customer service appointments Coordinate schedules between customers, designers, installers, manufacturers, and internal team members Maintain accurate customer and project information in our CRM and scheduling systems Review contracts and required paperwork for accuracy and completeness Track orders and projects through the ordering, scheduling, and installation process Communicate appointment, project, and order updates to customers Prepare project and installation information for installers and other team members Assist with repair and warranty requests, including collecting information, coordinating service, and communicating applicable charges Assist with payment processing, accounts receivable, accounts payable, and other light administrative accounting duties as needed Help resolve scheduling conflicts and ensure issues are communicated promptly Maintain organized project files and required documentation Provide administrative support to the Operations team Cross-train with other office team members and provide backup coverage when necessary Assist with office organization, mail, supplies, scanning, filing, and other administrative duties Support special projects and other business needs as assigned What We're Looking For Previous experience in scheduling, project coordination, customer service, office administration, or a related position preferred Strong organizational skills and excellent attention to detail Excellent written and verbal communication skills Professional and confident telephone manner Ability to manage multiple projects, appointments, deadlines, and priorities simultaneously Strong problem-solving skills and follow-through Comfortable working in a fast-paced environment Reliable, dependable, and consistent Comfortable learning new software, systems, and processes Ability to communicate professionally with customers, vendors, manufacturers, designers, installers, and management Able to work independently while also collaborating with a team Strong computer skills Experience with CRM software, HubSpot, Microsoft Outlook, Microsoft Office, QuickBooks, home improvement, construction, interior design, or field-service scheduling is a plus but not required.
