Project Coordinator - HVAC B&M Builders, Inc. - 4.2 Rancho Cordova, CA Job Details Full-time $20 - $26 an hour 1 day ago Benefits Health insurance Qualifications Computer operation Microsoft Excel Computer literacy Writing skills Project coordination Organizational skills Construction administrative experience Productivity software Full Job Description Position Summary The Project Coordinator is responsible for supporting the Project Manager in executing administrative and technical project tasks. This office-based role provides critical coordination between the field, office, and customer by managing submittals, RFIs, DEWRs, billing documentation, permit applications, and field packets. The Project Coordinator plays a vital role in maintaining project organization and communication. This role applies across all construction divisions and follows standardized B&M project coordination systems. Key Responsibilities Submittals & RFIs Receive submittal list from the Project Manager and request documentation from vendors or suppliers. Organize and submit submittals to the owner via email, copying the Project Manager. Draft and submit RFIs based on field calls or notes from the Superintendent. Maintain the official submittal and RFI logs with regular updates and response dates. Ensure logs are up to date and accessible to the Project Manager and field team. Billing & Extra Work Documentation Receive field quantities and sketches from the Superintendent and type into billing format. Compile and submit monthly billing with supporting material invoices, photos, and tickets. Type and submit DEWRs received from the field. Collect and organize material receipts for T&M work and submit after PM review. Permit & Compliance Coordination Apply for required project permits Track permit approvals and coordinate inspections as required. Maintain organized permit and compliance folders for each project. Field Packet Preparation Monitor the Project Management Dashboard and create packets for each crew as indicated by the Project Manager. Use the standardized Field Packet Procedure to print and organize plans, bid items, submittals, specs, and other required materials. Assemble, label, and distribute field packets for appropriate crews within the division. Meeting Documentation & Project Logs Attend weekly project meetings with the PM and Superintendent. Take clear and concise meeting notes, distribute recap summaries, and follow up on assigned action items. Maintain organized records of meeting minutes, RFIs, submittals, and change orders. Project Documentation & Support Maintain organized digital and hard copy project files. Maintain and update the Change Order Request (COR) log. Assist the Project Manager in assembling change orders, schedules, and closeout documents. Assist with job start-up checklists, contact sheets, and onboarding documentation. Required Qualifications 2+ years of experience in construction project support or coordination. Proficient in Microsoft Office, especially Word and Excel. Familiarity with reading plans, specifications, and submittal requirements. Strong organizational skills and attention to detail. Effective written and verbal communication skills. Physical Requirements / Working Conditions Ability to sit at a desk and use a computer for extended periods. Occasional field visits to job sites, including walking on uneven ground and being outdoors.
Pay:
$20.00 - $26.00 per hour
