Position Overview The Project Coordinator plays a critical role in supporting the successful delivery of infrastructure projects by partnering closely with Project Managers and field teams. This position blends project operations, documentation, and regulatory compliance, ensuring projects are executed safely, efficiently, and in accordance with all requirements. Serving as a key point of contact for permitting and coordination activities, the Project Coordinator is responsible for tracking project progress, managing documentation, and facilitating communication between stakeholders. This role requires strong organizational skills, attention to detail, and the ability to proactively navigate complex permitting processes involving local jurisdictions, utility providers, and landowners. Key Responsibilities Collaborate with Project Managers, field teams, and leadership to support project execution in alignment with OSHA and internal safety standards Coordinate and support project meetings (daily, weekly, monthly), including preparing agendas, recording minutes, and tracking action items Maintain organized electronic project files using Microsoft Office, SharePoint, and project controls systems (e.g., EcoSys, B2W) Coordinate subcontractors, vendors, and suppliers to ensure timely delivery of materials, equipment, and services Prepare and distribute work packages to field teams; maintain production trackers and audit timesheets for accuracy Support project closeout processes, including as-built documentation, punch list tracking, and lessons learned Research, prepare, and submit permit applications to local, state, and federal agencies Serve as a liaison between internal teams, clients, utilities, regulatory agencies, and landowners Track permit progress through approval and construction phases, ensuring compliance with all requirements Coordinate land access agreements and support site access needs for field operations Identify and communicate regulatory impacts to project stakeholders Contribute to the continuous improvement of permitting workflows and project coordination processes Manage competing priorities in a fast-paced environment while maintaining professionalism and clear communication Required Qualifications High school diploma or equivalent Minimum 1 year of experience in project coordination, construction, or project controls At least 1year of experience in administrative, permitting, or customer-facing roles Working knowledge of construction practices, project lifecycle phases, budgeting, and contract coordination Understanding of permitting processes with experience working with municipalities, utilities, or regulatory agencies Advanced proficiency in Microsoft Office (Excel, Word, Project, Visio, Access) Experience with project controls tools such as EcoSys, B2W, or similar systems Strong attention to detail with the ability to review and validate project data Excellent written and verbal communication skills Ability to manage multiple priorities and meet deadlines in a dynamic environment Self-starter with strong problem-solving skills and a proactive mindset Preferred Qualifications Experience in infrastructure, utilities, or construction environments Proven ability to coordinate across diverse stakeholder groups (clients, agencies, utilities, landowners) Experience supporting subcontractors, vendors, and material logistics Familiarity with facilitating project meetings and tracking deliverables Interest in advancing into Project Management or related leadership roles Experience improving processes, particularly in permitting and documentation workflows Strong organizational skills with experience managing structured document systems Professional presence in external meetings with stakeholders and regulatory agencies Work Environment This position is based onsite in Rancho Cucamonga, offering close collaboration with an experienced and supportive project team. The role provides hands-on exposure to both office-based project coordination and field operations, including occasional site visits. You will regularly interact with project managers, field personnel, and stakeholders while working within a fast-paced, team-oriented environment. The position emphasizes safety, continuous learning, and career development, providing a strong foundation for growth into Project Management or related roles. Job Type & Location This is a Contract to Hire position based out of Rancho Cucamonga, CA. Pay and Benefits The pay range for this position is $24.00 - $28.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
