Position Overview We are seeking an exceptional Executive Assistant to the CEO / Strategic Operations Manager / Executive Project Manager to serve as a key strategic partner to our Founder and CEO, helping drive execution across critical business priorities. This is not a traditional calendar-management role. This position is ideal for someone who thrives in high-growth environments and can seamlessly shift between executive support, strategic project management, business operations, partnership coordination, investor readiness, and cross-functional execution. You will act as a force multiplier for the CEO—driving initiatives forward, creating organizational structure, ensuring accountability across departments, and helping drive high-priority business objectives. The ideal candidate is highly organized, commercially minded, detail-oriented, proactive, and comfortable operating across multiple business functions simultaneously. Key Responsibilities Executive Partnership & CEO Support Manage the CEO's calendar, meeting prioritization, travel logistics, and scheduling across internal and external stakeholders Prepare executive briefing materials, talking points, meeting agendas, and follow-up action plans Draft high-level executive correspondence, investor communications, partner outreach, and strategic follow-up emails Serve as gatekeeper and strategic prioritization partner for incoming requests and opportunities Track CEO deliverables and ensure timely execution of action items Strategic Project Management Own execution of high-priority CEO initiatives from concept through completion Manage project trackers, workflows, SOPs, dashboards, and accountability systems Coordinate cross-functional initiatives spanning commercial, marketing, operations, clinical, regulatory, and product teams Drive follow-up and maintain momentum on strategic business priorities Identify bottlenecks and proactively implement solutions Business Development & Partnerships Support strategic partnership development, follow-up cadence, and collaboration workflows Coordinate NDAs, agreements, proposal development, pilot programs, and implementation timelines Track partner communications, commercial opportunities, and executive follow-ups Prepare decks, collateral, and supporting materials for partnership discussions Investor & Executive Communications Support investor relations initiatives, including board deck development, performance reporting, and executive presentations Coordinate conference participation, speaking engagements, PR opportunities, and executive visibility initiatives Draft press release inputs, CEO social content coordination, and thought leadership support Commercial Operations & Process Development Help build scalable operational processes across sales, marketing, customer support, and channel partnerships Create SOPs, training documentation, operational workflows, and internal playbooks Assist with ecommerce/channel partner operational coordination (Amazon, retail, marketplace partners, distributors) Support issue resolution across cross-functional teams Marketing & Growth Support Coordinate execution of product launches, campaigns, and marketing initiatives Support content development, executive social media coordination, and event preparation Assist with external vendor management (creative agencies, consultants, contractors) Administrative Excellence Manage expense reporting, documentation, contract organization, and internal communications Coordinate executive meetings, leadership meetings, and strategic planning sessions Maintain impeccable organization across priorities, timelines, and documentation Qualifications Required 5+ years experience supporting C-level executives, founders, or senior leadership Experience in fast-paced startup, healthcare, Medtech, SaaS, or high-growth environments Exceptional written and verbal communication skills Strong executive presence and professionalism Proven ability to manage multiple competing priorities with minimal oversight Outstanding organizational and project management skills High emotional intelligence and sound judgment Strong proficiency in: Microsoft Office / Google Workspace PowerPoint / executive presentations CRM platforms (HubSpot preferred) Project management tools (Asana preferred) Calendar management systems Preferred Experience in healthcare, digital health, medical device, diagnostics, or remote patient monitoring Exposure to investor relations, executive communications, or strategic partnerships Experience supporting a founder/CEO Familiarity with ecommerce / channel sales operations Experience building processes from scratch Ideal Candidate Traits You are: Relentlessly proactive Highly resourceful Calm under pressure Commercially aware Detail-oriented Fast-moving without sacrificing quality Comfortable with ambiguity Solutions-oriented Extremely trustworthy and discreet Equally comfortable in strategy discussions and execution details Compensation & Benefits $80-100K Benefits include: Medical / dental / vision PTO Professional development opportunities High-growth career path Why This Role?
