Position Summary The Controls Project Coordinator is a regional role reporting directly to the Service Coordination Manager. This position serves as a key liaison between branch-level operations and corporate by executing various administrative functions in support of project delivery. Key Duties and Responsibilities Provide administrative support to the Controls Project Manager, assisting with day-to-day internal project operations Process and manage project-related documentation including sales orders, invoices, purchase orders, returns and credits Coordinate subcontractor payment requests and approvals with the Controls Team. Maintain and update financial tracking spreadsheets for multiple ongoing projects Monitor inventory levels to ensure materials are available to meet project and customer demands Manage and oversee the Commercial Controls Warranty Program and the Commercial Controls Expert Program Support purchasing activities as required Maintain and update the Controls submittal and production backlog Conduct monthly meetings with Project Management teams to complete progress billing and forecasting Participate in required internal and external training and certification programs Collaborate with and provide support to all functions within the Controls Department Perform additional duties assigned by management

Critical Knowledge and Skills:

High level of accuracy, analytical capability, and attention to detail Strong interpersonal, verbal, and written communication skills Effective planning and teamwork abilities Proven multi-tasking and time management skills Ability to interact professionally across all levels of the organization Self-motivated, proactive, and adaptable with a collaborative mindset Capable of working independently and efficiently under pressure Familiarity with factory policies is a plus Proficiency in Microsoft Office Suite, particularly Excel, Word, PowerPoint; knowledge of Access, HVAC Partners and Sage is an advantage

Education and Experience:

High school diploma 3+ years related experience preferred
