Job Description
Overview The Project Coordinator supports marketing and communications initiatives by managing the development and delivery of collateral materials and projects from concept through final distribution. This role works with internal stakeholders, content and creative teams, and external vendors to ensure projects are completed accurately, on time, and within scope. Key Responsibilities Coordinate the end-to-end development of marketing materials including brochures, flyers, newsletters, reports, presentations, and other collateral Manage project intake, gather requirements, and define key details such as audience, messaging, timelines, and distribution Track and manage multiple projects simultaneously across all stages including content development, design, editing, approvals, production, and distribution Maintain project tracking systems (e.g., Asana) and ensure all stakeholders have visibility into project status Assign and maintain unique identifiers (e.g., material control numbers) for all collateral Facilitate project kickoff meetings and ongoing coordination with internal teams and stakeholders Collaborate with content, design, and web teams to develop and finalize materials Obtain approvals from relevant stakeholders and ensure compliance with requirements before production Coordinate with vendors to gather cost estimates, manage printing, and oversee distribution Develop editorial calendars and content plans for newsletters and communications campaigns Maintain organized project files, documentation, and audit trails Support administrative processes such as creating purchase orders, processing invoices, and preparing reports or presentation materials Conduct regular reviews of existing collateral (print, digital, and web) to ensure accuracy and consistency Manage inventory of printed materials, marketing assets, and promotional items Qualifications Bachelor's degree (or equivalent experience) in marketing, communications, business, or a related field Minimum 1 year of relevant experience in project coordination, marketing, or communications Skills & Experience Strong project management and organizational skills with the ability to manage multiple projects at different stages Excellent written and verbal communication skills with strong attention to detail Ability to collaborate cross-functionally and manage stakeholder relationships Experience working with project tracking tools (e.g., Asana or similar) Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) Ability to work independently, prioritize tasks, and adapt to changing priorities Preferred Qualifications Experience in B2C marketing environments Familiarity with print production processes and timelines Experience with project management tools (e.g., Asana) Experience with purchase order and invoice processing systems (e.g., NetSuite) Bilingual skills (e.g., Spanish) are a plus Job Type & Location This is a Contract position based out of Santa Barbara, CA. Pay and Benefits The pay range for this position is $24.00 - $26.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
