We are seeking a detail-oriented Project Coordinator to provide administrative, financial, and operational support to a busy project management team. This individual will work closely with Project Managers to coordinate construction documentation, maintain accurate project records, oversee billing activities, and ensure contractual requirements are completed throughout the project lifecycle. The ideal candidate has a strong background in construction project coordination, experience with ERP accounting systems, and a solid understanding of construction billing and contract administration. This position requires someone who can manage competing priorities, communicate effectively with multiple stakeholders, and adapt to changing processes and technology.

Key Responsibilities:

Coordinate daily communication among Project Managers, field personnel, contractors, subcontractors, vendors, and internal operations teams. Establish and update project records within an ERP platform, including purchase orders, subcontract agreements, change orders, and financial documentation. Organize and maintain electronic project folders, ensuring contracts, correspondence, and supporting documents are accurate and accessible. Prepare and process customer invoices using various billing structures, including milestone-based, percentage-of-completion, AIA, unit pricing, and time-and-materials methods. Monitor contractual compliance requirements, including certified payroll, lien releases, DBE reporting, and other project-specific documentation. Track construction-related paperwork such as RFIs, submittals, purchase orders, contract modifications, and progress reports. Partner with vendors and subcontractors to coordinate purchasing activities, billing submissions, and contract updates. Review project financial information and assist with maintaining accurate billing and accounting records. Respond to customer and vendor inquiries while ensuring timely resolution of outstanding items. Assist Project Managers and field teams with purchasing requests, documentation needs, and general project coordination. Identify opportunities to streamline administrative processes and support the adoption of new systems and procedures. Provide additional administrative and operational assistance to the project management team as needed.

Qualifications:

3-5+ years of experience in project coordination, project administration, or a related construction support role. Previous experience in construction, engineering consulting, architecture, or a similar project-based industry. Strong understanding of construction contracts, project invoicing, billing procedures, and document management. Experience working with purchase orders, subcontract agreements, RFIs, submittals, and change orders. Intermediate to advanced Microsoft Excel skills and proficiency with Microsoft Outlook. Hands-on experience with ERP or project accounting software; familiarity with Viewpoint Spectrum is highly preferred. Ability to interpret contractual requirements and maintain accurate project documentation. Excellent organizational skills with the ability to manage multiple projects, deadlines, and competing priorities. Strong written and verbal communication skills with a professional, service-oriented approach. High level of accuracy and attention to detail when reviewing financial and contractual information. Comfortable learning new software, adjusting to evolving procedures, and contributing ideas for process improvements. Experience supporting purchasing, accounts payable, accounts receivable, or payroll functions is a plus.

Additional Details:

The position requires working onsite five days per week. The role supports a small project management team and involves regular interaction with internal and external stakeholders. Candidates should be comfortable working in a fast-paced environment where priorities and project requirements may change.
