Job Description
Assistant Project Manager / Assistant Estimator Position Overview We are seeking a highly organized, self-driven Assistant Project Manager / Assistant Estimator to support our owners and team across our construction, countertop, and interior design divisions. The ideal candidate is motivated, detail-oriented, comfortable taking initiative, and confident communicating with homeowners, subcontractors, suppliers, inspectors, and other industry professionals. This is a varied, hands-on position that includes office administration, estimating, project coordination, design assistance, marketing, and occasional job-site responsibilities. Schedule Monday through Friday, 8:00 a.m. to 5:00 p.m. Approximately two Saturdays per month from 9:00 a.m. to 2:00 p.m. A half day during the week will be provided when a Saturday shift is required. Responsibilities Responsibilities include, but are not limited to : Project Coordination and Client Communication Assist the owners with project management and coordination of residential remodeling and construction projects. Provide homeowners with project updates, scheduling information, and next steps. Help maintain and update project schedules. Coordinate subcontractors, suppliers, inspections, deliveries, and job-site appointments. Attend inspections, site meetings, and project walkthroughs as needed. Apply for permits and follow up with municipalities regarding permit and inspection status. Document project updates, decisions, selections, and client communications in project management software. Identify potential scheduling issues, missing information, or project concerns and communicate them promptly. Estimating and Site Measurements Assist the owner with compiling estimates and proposals for larger construction projects. Prepare estimates for countertop replacements, tile work, carpet and flooring installations, and smaller remodeling projects. Complete site measurements for carpet, tile, flooring, countertops, and other project bids. Review plans, measurements, specifications, and subcontractor proposals for accuracy. Request, organize, and follow up on vendor and subcontractor pricing. Track estimate status and assist with timely client follow-up. Design and Client Selections Create floor plans, layouts, and renderings using Chief Architect or a similar design program. Assist clients with product and finish selections when needed. Enter client selections into project management software and obtain documented approvals. Occasionally assist clients with granite, quartz, and remnant selections when other team members are unavailable. Support the Design Studio Manager with showroom organization, sample management, displays, and general studio cleanliness. Countertop and Material Coordination Schedule countertop templating, fabrication, and installation appointments. Communicate preparation requirements, timelines, and scheduling updates to clients. Order materials and track order confirmations, lead times, backorders, and delivery dates. Follow up with vendors and suppliers to ensure materials arrive according to schedule. Verify that required products, selections, and job-site information are available before work is scheduled. Administrative and Marketing Support Occasionally answer and route incoming calls. Respond to initial client emails or direct inquiries to the appropriate department. Maintain organized digital project files, photos, measurements, estimates, and client documentation. Maintain a digital portfolio of before-and-after project images. Create and publish approximately three to four social media posts per week. Update Facebook, Instagram, Houzz, Google Business Profile, and the company website with project photos, company updates, and promotions. Create basic marketing materials using Canva. Assist the owners with general administrative tasks and special projects as needed. Qualifications and Skills Proficiency in Chief Architect or a comparable floor plan and rendering program is required . Previous experience in residential construction, remodeling, estimating, project coordination, interior design, or a related field is strongly preferred. General knowledge of residential construction methods, materials, design trends, and project sequencing. Ability to accurately read floor plans, blueprints, contracts, specifications, and schematics. Strong measuring, mathematical, analytical, and problem-solving skills. Excellent written and verbal communication skills. Strong customer service skills and a professional, confident demeanor. Highly organized, dependable, detail-oriented, and self-motivated. Ability to prioritize multiple responsibilities in a fast-paced environment. Comfortable working independently while also collaborating with owners, designers, field staff, subcontractors, and vendors. Proficiency with Microsoft Office, Canva, email, cloud-based file systems, and social media platforms. Experience with construction project management or estimating software is preferred. Ability to learn new software and company processes quickly. Ability to lift, carry, and move samples and materials as needed. Must have a valid driver's license, reliable transportation, and the ability to travel to local job sites. Must be comfortable entering active construction sites and working in both office and field environments. This person should be able to anticipate what is needed, communicate clearly, maintain accurate records, and remain calm and professional when schedules or project conditions change.
