Job Description
Office Coordinator
- Construction / Pool Installation (Full-Time/Part-time)
Location:
New Port Richey, FL Company:
Hawaiian Island Pools- About the Role Hawaiian Island Pools is a growing, family-owned pool installation company seeking a highly organized and proactive Office Coordinator to support daily operations alongside our Office Manager.
- Key Responsibilities Lead & Schedule Coordination
- Manage incoming leads through our CRM system (GoHighLevel or similar)
- Schedule in-home consultations and site visits for the sales team
- Follow up with leads to confirm appointments and maintain communication Project Coordination & Permitting
- Assist with permit application processing and tracking
- Coordinate required documents (surveys, plans, HOA approvals, etc.)
- Communicate with counties, municipalities, and homeowners as needed
- Track project progress through internal systems to ensure timelines are met CRM & Project Management Systems
- Maintain accurate and up-to-date records in CRM and project management tools
- Monitor job pipeline from lead → contract → permit → build
- Ensure all notes, documents, and communications are properly logged Administrative Support
- Answer phones, respond to emails, and assist customers with professionalism
- Support the Office Manager with day-to-day operations
- Maintain organized digital filing systems for easy access to documents

- Strong organizational skills with high attention to detail
- Comfortable using CRM systems and learning new software quickly
- Ability to manage multiple tasks and deadlines without losing track of details
- Clear and professional communication (phone, text, and email)
- Self-motivated with a strong sense of ownership and accountability
- Preferred Experience
- Experience in construction, permitting, or project coordination (highly preferred)
- Familiarity with CRM systems (GoHighLevel, JobNimbus, Buildertrend, etc.)
- Experience working in a fast-paced service or construction environment
