Project Manager (Restaurant & Hospitality)

$35 - $40 / hour (based on experience) Overview We are seeking a highly organized, hands-on, and results-driven Project Manager to oversee our restaurant projects from renovation and add-ons through launch. This individual will serve as the primary point of contact for all contractors, vendors, and consultants throughout the project. The ideal candidate will be on-site daily, ensuring work is completed according to schedule, budget, and quality standards while providing regular updates to company leadership. This position is ideal for someone with experience in restaurant, hospitality, hotel, retail, or commercial construction projects who thrives in a fast-paced environment and enjoys turning plans into reality. Key Responsibilities Construction & Renovation Management Act as the primary point of contact for all contractors, subcontractors, architects, engineers, consultants, and vendors. Be present on-site daily to monitor project progress and ensure work is completed according to plans and specifications. Conduct regular walkthroughs and inspections to identify deficiencies, delays, or quality concerns. Coordinate permits, inspections, approvals, and contractor schedules. Ensure compliance with building codes, fire and health department requirements, and safety regulations. Escalate issues and provide solutions proactively to avoid project delays. Project Planning & Timeline Management Develop and maintain detailed project schedules and critical paths. Identify project risks and potential delays and implement corrective action plans. Track milestones, deliverables, and deadlines across all project phases. Lead weekly project meetings and distribute meeting notes and action items. Maintain project documentation and ensure accountability among all stakeholders. Budgeting & Financial Tracking Build and manage pre-opening budgets. Track construction expenses, change orders, invoices, and commitments. Maintain purchasing logs and procurement trackers. Monitor project costs against budget and identify cost-saving opportunities. Prepare regular budget reports for leadership. Purchasing & Procurement Coordinate purchasing of furniture, fixtures, equipment (FF&E), kitchen equipment, smallwares, operating supplies, technology, and other project-related items. Maintain detailed purchasing and delivery trackers. Coordinate vendor deliveries and installation schedules. Ensure all purchased items arrive on time and within budget. Reporting & Communication Provide daily and weekly project updates to the leadership team. Prepare project status reports, timelines, budget summaries, and action plans. Maintain organized project files, contracts, permits, invoices, and supporting documentation. Communicate effectively with internal teams and external partners. Coordination Develop and manage the projects pre-opening checklist. Coordinate utility activations, licenses, inspections, and operational readiness. Assist with opening budgets, staffing timelines, training schedules, and operational setup. Ensure all departments are aligned and prepared for launch day. Qualifications Required 2+ years of project management experience in construction, hospitality, restaurant, retail, or commercial projects. Strong knowledge of project planning and critical path scheduling. Experience building and managing project budgets. Excellent organizational and problem-solving skills. Advanced proficiency in Microsoft Excel and Word. Experience using project management software such as Monday.com, Asana, or similar platforms. Ability to read construction plans and coordinate multiple vendors and contractors. Strong communication and leadership skills. Ability to work independently and take ownership of projects. Valid driver's license and reliable transportation. Preferred Restaurant, hotel, hospitality, or food & beverage industry experience. Experience opening new restaurants, hotels, or hospitality venues. Familiarity with FF&E procurement and purchasing processes. Experience with Restaurant365 or similar hospitality software. Bilingual English/Spanish. What Success Looks Like Construction milestones are achieved on schedule. Contractors are held accountable and managed effectively. Budgets are maintained and tracked accurately. Purchasing and deliveries are organized and on time. Leadership receives clear and actionable project updates. The project is completed on time, on budget, and fully operational.
