Full Job Description Now Hiring:
Project Coordinator B&T Fencing is seeking a motivated and detail-oriented Project Coordinator to support our growing operations team. This position will assist with contract and project administration, bidding/preconstruction support, HR-related administrative tasks, and various internal processes that help support the continued growth of the company. What You'll Do This role is designed to provide additional support capacity across multiple departments while working collaboratively with the team. The ideal candidate is organized, adaptable, professional, and comfortable managing multiple priorities in a fast-paced construction environment. Contract & Project Administration Assist with contract and project administration support Maintain organized digital and physical project records Support subcontractor and vendor compliance tracking Bidding & Preconstruction Support Research potential project opportunities Organize and prepare bid documents and proposals Support estimating and project handoff processes Billing & Financial Tracking Prepare and submit AIA billing and monthly pay applications Monitor contract terms, retainage, lien releases, and change orders Track billing schedules and ensure timely submissions and follow-up Support project-specific invoicing and reconciliation of billable items HR Support Assist with certified payroll reporting and compliance related tasks Facilitate background checks and onboarding support Maintain and track project-specific safety documentation, including employee training certifications, toolbox talks, incident reports, site safety plans, and OSHA logs Administrative & Operational Support Provide overflow phone and administrative support as needed Assist leadership team with special projects and operational initiatives Assist with data entry, reporting, and document organization Participate in cross training across multiple administrative functions What We're Looking For 2-3 years of experience in construction project coordination or contract administration Knowledge of AIA billing, certified payroll, and job costing system preferred Excellent attention to detail and ability to work with numbers Strong communication, organization, and problem-solving skills Ability to balance multiple projects in a fast-moving environment Team-oriented mindset with willingness to assist where needed
