This role ensures that projects are executed efficiently, timelines are met, and communication flows seamlessly across teams, clients, and field personnel. The Lead Project Coordinator will play a central role in organizing project activities, maintaining compliance documentation, and supporting the successful rollout of security solutions. Responsibilities Coordinate day‑to‑day project activities, schedules, and deliverables for security system installations, upgrades, and service deployments. Serve as the primary point of contact between internal teams, field technicians, clients, and vendors. Maintain project documentation, including scope details, compliance forms, permits, and status reports. Track project progress, identify risks or delays, and escalate issues to leadership when needed. Facilitate project meetings, prepare agendas, and ensure follow‑up on action items. Support resource planning, technician scheduling, and equipment allocation. Ensure all project activities align with security industry standards, client requirements, and regulatory guidelines. Travel as needed for the project, including the initial walk‑through, final walk‑through, and any additional on‑site visits required. Mentor junior coordinators and support continuous improvement of project workflows. Prepare reports covering all phases of the project cycle. Develop project-related maps. Create and maintain inventory lists. Provide timely and accurate project management documentation and reporting, including but not limited to, project meeting minutes, budgets, value engineering, schedules, bid and award process, purchase orders, contracts, and change orders. Manage project team and their compliance with the project objectives and contract documents, including project budget and schedule. Overall management of project financials, including cost reporting, monthly requisition/draw request review and approval, and receipt of appropriate lien waivers. Review and verify project design, scope and quote with the "Proposal Owner" while defining stakeholders, project goals, task, constraints, risks, timelines and deliverables. This position is required to answer calls during regular business hours and after hours. Qualifications 3-7 years of experience in project coordination, preferably in security, low‑voltage, technology, or construction environments. Strong organizational and communication skills with the ability to manage multiple projects simultaneously. Experience working with field teams, technicians, or service crews. Proficiency with project management tools (e.g., Smartsheet, Asana, MS Project) and CRM or service management platforms. Understanding of security systems, access control, CCTV, alarms, or related technologies is a plus. Ability to interpret project scopes, technical documentation, and compliance requirements. Bachelor's degree in business, project management, or a related field preferred. Certifications such as CAPM, PMP, or security‑industry credentials are a plus.
