Job Description:
Our client is seeking a bilingual Project Coordinator to provide administrative and operational support across a large portfolio of ongoing and upcoming projects.
Key Responsibilities:
Provide administrative and logistical coordination for projects at various stages of completion. Maintain accurate trackers for active, completed, and upcoming initiatives. Organize project documentation, approvals, materials, deadlines, and other requirements. Keep project schedules and deliverables updated and communicate upcoming action items. Prepare status reports, spreadsheets, tracking documents, and other project-related materials. Monitor progress and follow up on outstanding information, documentation, and approvals. Assist with processing invoices, payments, and other project-related financial items. Partner with leadership and key stakeholders to keep projects organized and moving forward. Identify missing information or potential delays and proactively work toward resolution. Maintain organized and accurate records throughout the full project lifecycle. Assist projects as they move from initial planning through implementation and completion. Coordinate travel arrangements and logistics as needed. Provide additional administrative and operational assistance to leadership and the broader team.
Qualifications:
Fluency in both English and Spanish is required . Previous experience in project coordination, project administration, or a similar support-focused role. Must possess a valid passport and be comfortable with occasional international travel. Strong organizational skills with excellent attention to detail. Ability to manage numerous projects, deadlines, and competing priorities simultaneously. Proactive follow-up skills and the ability to keep tasks moving without constant oversight. Strong written and verbal communication abilities. Comfortable working with spreadsheets, reports, project trackers, and documentation. Strong problem-solving skills with the ability to anticipate upcoming project needs. Ability to work independently while maintaining effective communication with leadership and stakeholders.
Additional Details:
This position is 100% onsite in Chicago . The contract portion of the role will be more heavily focused on administrative project coordination, with relationship management potentially added if the position becomes permanent.
