Job Description

Paul Davis Restoration is currently looking for an Inside Mitigation Project Coordinator at our Shrewbury operations. At Paul Davis, we provide services to clean up and repair damage to commercial, residential, and institutional properties due to storms, fires, water, mold, or other disasters. The Paul Davis project coordinators are the ENGINE that drives the ship. The coordinators are vital to successful project management and instrumental in ensuring compliance with any and all program requirements. One major goal of the coordinator position is for the coordinators to become Subject Matter Experts in their disciplines and in program compliance. Program compliance will vary depending upon the source of any particular project.
Schedule:
Full-time, Monday through Friday, 8-5pm.
Duties and Responsibilities:
Provide phone coverage at all times. Make initial contact for all projects. Set up projects within the internal project management system. Schedule inspections and equipment pick ups.
Dispatching on new mitigation losses:
Once a job is set up, the coordinator is responsible for assigning technicians to the project and ensuring that they have all the information they need to complete the work effectively. Assist PMs with obtaining work authorizations and certifications. Ensure projects are properly linked across relevant systems and platforms. Responsible for ensuring date compliance for customer contact and inspection scheduling. Assist project managers (PMs) with remaining compliance tasks. Coordinators should be aware of where PMs are with various projects and help ensure compliance through these tasks. Request updates from PMs on projects, especially when approaching compliance deadlines. Monitor the daily operations report and request feedback and updates from PMs for any projects that appear on the report. Update and manage the project tracking dashboard. Sort through and distribute relevant emails to the appropriate PM. Assist PMs by answering questions, providing necessary feedback, and making revisions as needed. Maintain accurate project files, ensuring all work records are up-to-date, including work authorizations, contracts, certificates of completion, and other relevant documents.
Qualifications:
Over 2 years of experience in general office administration or management. Experience in the restoration, construction, or insurance industries is preferred. Familiarity with project management systems is a plus. Knowledge of industry-specific software systems is beneficial. Strong customer service skills. Proficiency in Microsoft Office, with a focus on Word and Excel. Self-motivated and proactive. Ability to multitask effectively in a fast-paced office setting. Excellent written and verbal communication skills.
